As a Workspace Admin or Owner, you have full control over these settings, ensuring that your team\u2019s time off is accurately tracked and managed.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Enable time off<\/h2>\n\n\n\n<p>To start managing holidays and time off policies, you first need to enable the Time Off feature in your workspace.<\/p>\n\n\n\n<p>To enable time off:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Click the <strong>three-dot icon <\/strong>next to your workspace name<\/li>\n\n\n\n<li class=\"translation-block\">Select <strong>Workspace settings<\/strong>&nbsp;<\/li>\n\n\n\n<li class=\"translation-block\">Scroll down to the <strong>Time off<\/strong> section<\/li>\n\n\n\n<li class=\"translation-block\">Enable the toggle for <strong>Activate time off<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Enable the option to let <strong>Regular users see time off outside their teams<\/strong> if needed (optional)<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"706\" height=\"380\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2025\/07\/Enable-time-off.gif\" alt=\"\" class=\"wp-image-29019\"\/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Create and manage time off policies<\/h2>\n\n\n\n<p>Time off policies determine how your team can request and track different types of leave, such as vacation days, sick leave, or personal time off.<\/p>\n\n\n\n<p>To create or manage time off policies:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Select <strong>Time off<\/strong> from the sidebar<\/li>\n\n\n\n<li class=\"translation-block\">Click on the <strong>gear icon <\/strong>in the top-right corner of the page<\/li>\n\n\n\n<li class=\"translation-block\">Select <strong>Manage policies<\/strong><\/li>\n\n\n\n<li>Enter the settings for your policy<\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Create New<\/strong><\/li>\n<\/ol>\n\n\n\n<p class=\"translation-block\">Clicking <strong>Create New<\/strong> creates a new Time off policy and you can edit it at any time.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"706\" height=\"380\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2025\/07\/Time-off-manage-policies.gif\" alt=\"\" class=\"wp-image-29020\"\/><\/figure>\n\n\n\n<p>Here\u2019s a guide to each setting when creating a new policy:<\/p>\n\n\n\n<figure class=\"wp-block-table translation-block\"><table class=\"has-fixed-layout\"><tbody><tr><td><strong>Feature<\/strong><\/td><td><strong>Description<\/strong><\/td><\/tr><tr><td><strong>Policy name<\/strong><\/td><td>The name of the new policy. You can also choose a color and symbol for the policy.<\/td><\/tr><tr><td><strong>Assignee<\/strong><\/td><td>Members or groups to which this policy applies&nbsp;<\/td><\/tr><tr><td><strong>Time unit<\/strong><\/td><td>Set the time off in <strong>Days<\/strong> or <strong>Hours<\/strong>&nbsp;<\/td><\/tr><tr><td><strong>Requires approval<\/strong><\/td><td>Choose whether time off requests require managerial approval. If unchecked, requests will be auto-approved.<br><br>If enabled, check the choices for:<br><br><strong>Who can approve<\/strong>:<br>\u2022 Admins<br>\u2022 Team managers<br>\u2022 Specific members<\/td><\/tr><tr><td><strong>Balance expiry<\/strong><\/td><td><strong>\u2022<\/strong> <strong>Never expires <\/strong>(default) \u2013 Balance for this policy won\u2019t have a start or end date and won\u2019t expire<br>\u2022 <strong>Has expiry dates<\/strong> \u2013 Accrual, and every balance for this policy needs to have a start<strong> <\/strong>and end date defined<\/td><\/tr><tr><td><strong>Automatically accrues<\/strong><\/td><td>Automatically adds days or hours to team members&#8217; balances monthly or yearly<\/td><\/tr><tr><td><strong>Allow negative balance<\/strong><\/td><td>Allow users to request time off even if they have a negative balance. Enabling this unlocks the following settings:<br><br>\u2022 <strong>Limit to <em>x<\/em> days per year\/month<\/strong> &#8211; Limit negative balances to a specified number of days per year or month<br>\u2022 <strong>Reset negative balance at the end of the year <\/strong>&#8211; Clears negative balances at year&#8217;s end<\/td><\/tr><tr><td><strong>Allow half day<\/strong><\/td><td>Allow users to request partial days off or specific hour blocks of the working day<\/td><\/tr><tr><td><strong>Automatically create time entries<\/strong><\/td><td>Automatically generate time entries in the Timesheet for approved time off<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p class=\"note\">Adding new days to a time-off balance will increase the total available amount, but it will not automatically eliminate or clear any existing negative balance.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Create and manage holidays<\/h2>\n\n\n\n<p>You can create multiple holidays, customize them, and assign them to specific users or groups.<\/p>\n\n\n\n<p>To create and manage holidays:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Go to the <strong>Time Off<\/strong> page<\/li>\n\n\n\n<li class=\"translation-block\">Click on the <strong>gear icon <\/strong>in the top-right corner<\/li>\n\n\n\n<li class=\"translation-block\">Select <strong>Manage Holidays<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Create New<\/strong><\/li>\n\n\n\n<li>Enter a name for the holiday<\/li>\n\n\n\n<li class=\"translation-block\">Select the members you want to apply the holiday to in the <strong>Assignees<\/strong> dropdown<\/li>\n\n\n\n<li class=\"translation-block\">Set the date or date range for the holiday in the <strong>Period <\/strong>section<\/li>\n\n\n\n<li>Enable the following settings (optional):\n<ul class=\"wp-block-list\">\n<li>Occurs annually &#8211; The holiday is set to occur every year<\/li>\n\n\n\n<li>Automatically create time entries &#8211; Approved holidays will create time entries<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<p class=\"translation-block\">9. Click <strong>Create<\/strong><\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"706\" height=\"380\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2025\/07\/Time-off-manage-holidays.gif\" alt=\"\" class=\"wp-image-29021\"\/><\/figure>\n\n\n\n<p class=\"note translation-block\">By default, <strong>Saturdays and Sundays<\/strong> are marked as non-working days. You can change this by customizing the working days in the <strong>Workspace settings<\/strong>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Manage non-working days<\/h2>\n\n\n\n<p>Non-working days (holidays and weekends) can be defined and customized in your workspace settings.<\/p>\n\n\n\n<p>To manage non-working days:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Click the <strong>three-dot icon<\/strong> next to the workspace name<\/li>\n\n\n\n<li class=\"translation-block\">Select <strong>Workspace settings<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Locate the section for <strong>Working days<\/strong><\/li>\n\n\n\n<li>Click on the days and check all the days that you and your team work<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"706\" height=\"380\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2025\/07\/Time-off-manage-non-working-days.gif\" alt=\"\" class=\"wp-image-29022\"\/><\/figure>\n\n\n\n<p>When an employee requests time off, holidays and weekends are excluded from the total time off.<\/p>\n\n\n\n<p><em>For example:&nbsp;<\/em><\/p>\n\n\n\n<p><em>If someone requests leave from Jan 1 to Jan 7, and Jan 1 is a holiday, Jan 2 is a Saturday, and Jan 3 is a Sunday, their request will be reduced to 4 days of time off.<\/em><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Edit a holiday<\/h2>\n\n\n\n<p>To edit a holiday:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Navigate to the <strong>Time off<\/strong> page<\/li>\n\n\n\n<li class=\"translation-block\">Click the <strong>gear icon<\/strong> in the top-right corner<\/li>\n\n\n\n<li class=\"translation-block\">Select <strong>Manage holidays<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Click the <strong>three-dot icon<\/strong> next to the holiday you want to edit<\/li>\n\n\n\n<li class=\"translation-block\">Select <strong>Edit<\/strong><\/li>\n\n\n\n<li>Edit the holiday settings as needed<\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Save<\/strong><\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"706\" height=\"380\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2025\/07\/Time-off-edit-a-holiday.gif\" alt=\"\" class=\"wp-image-29023\"\/><\/figure>\n\n\n\n<p><strong>Important notes about editing a holiday:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">If you add a holiday or change its date <em>after<\/em> a team member has already submitted a leave request for that period, their balance automatically updates to reflect the new non-working day.<\/li>\n\n\n\n<li>If you&#8217;ve recently hired new people or changed teams, double-check that they are assigned to the holiday. If they aren&#8217;t assigned, the system will treat that day as a normal workday and deduct it from their balance.<\/li>\n\n\n\n<li>Any color changes you make to a holiday will update instantly across the Calendar, Schedule, and Time Off timeline views for everyone assigned to that holiday.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Delete a holiday<\/h2>\n\n\n\n<p>To delete a holiday:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Navigate to the <strong>Time off<\/strong> page<\/li>\n\n\n\n<li class=\"translation-block\">Click the <strong>gear icon<\/strong> in the top-right corner<\/li>\n\n\n\n<li class=\"translation-block\">Select <strong>Manage holidays<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Click the <strong>three-dot icon<\/strong> next to the holiday you want to delete<\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Delete<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Delete<\/strong> again to confirm the action<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"706\" height=\"380\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2025\/07\/Time-off-delete-holiday.gif\" alt=\"\" class=\"wp-image-29024\"\/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">What happens after deleting a holiday?<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>If a user had a time off request that spanned across the deleted holiday, the system will no longer exclude that day.\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><em>Example: If a user was off Monday\u2013Wednesday and Tuesday was a holiday, they were originally charged <\/em><strong><em>2 days<\/em><\/strong><em>. If you delete the Tuesday holiday, their request will now be worth <\/em><strong><em>3 days<\/em><\/strong><em>, and their balance will decrease accordingly.<\/em><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li class=\"translation-block\">If <strong>Automatically create time entries<\/strong> was enabled for holidays, deleting the holiday does not automatically delete the generated time entries in the Timesheet.<\/li>\n\n\n\n<li class=\"translation-block\">The holiday will immediately disappear from the <strong>Time Off<\/strong>, <strong>Calendar<\/strong>, and <strong>Schedule<\/strong> views for all assigned members.<\/li>\n\n\n\n<li class=\"translation-block\">Unlike archiving a policy, deleting a holiday is final. If you delete it by mistake, you will need to recreate it and re-assign it to the correct members or groups.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Archive a policy<\/h2>\n\n\n\n<p>You can archive or delete outdated policies, such as old vacation policies or specific leave policies no longer in use.<\/p>\n\n\n\n<p>To archive a policy:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Go to the <strong>Time off<\/strong> page<\/li>\n\n\n\n<li class=\"translation-block\">Click the <strong>gear icon<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Select <strong>Manage policies<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Click the <strong>three-dot icon<\/strong> next to the policy you want to archive<\/li>\n\n\n\n<li class=\"translation-block\">Select <strong>Archive<\/strong><\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"706\" height=\"380\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2025\/07\/Time-off-archive-policy.gif\" alt=\"\" class=\"wp-image-29025\"\/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">What happens after archiving a policy?<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>All past time off requests, approved leave, and historical balance logs remain intact. If you don\u2019t see an option to delete a policy, archive it first.<\/p>\n\n\n\n<p>To delete a policy:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Go to the <strong>Time off<\/strong> page<\/li>\n\n\n\n<li class=\"translation-block\">Click the <strong>gear icon<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Select <strong>Manage policies<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Click the <strong>three-dot icon<\/strong> next to the policy you want to delete<\/li>\n\n\n\n<li class=\"translation-block\">Select <strong>Delete<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Type <strong>DELETE<\/strong> in the text field<\/li>\n\n\n\n<li class=\"translation-block\">Click the <strong>Delete<\/strong> button to finalize the action<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"706\" height=\"380\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2025\/07\/Time-off-delete-a-policy.gif\" alt=\"\" class=\"wp-image-29027\"\/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Reminders before deleting a policy<\/h3>\n\n\n\n<p>Unlike archiving, deleting a policy is permanent and has a significant impact on your workspace data. Before you hit delete, here is what you need to know:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Every request (approved, pending, or rejected) associated with that policy will be permanently removed from the system.<\/li>\n\n\n\n<li>All user balances tied to that policy, including any tracked accruals will be erased.<\/li>\n\n\n\n<li>Your historical reports will no longer show leave taken under this policy which can lead to gaps in your time-tracking records.<\/li>\n\n\n\n<li>There is no &#8220;Undo&#8221; button for deleting a policy. Once it\u2019s gone, you would have to manually recreate the policy and re-upload everyone&#8217;s balances and past requests from scratch.<\/li>\n<\/ul>\n\n\n\n<p class=\"tip translation-block\">Only delete a policy if it was created by mistake and contains no real data. For everything else, <strong>Archive<\/strong> it instead to keep your records safe.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Manage time off balance<\/h3>\n\n\n\n<p>Clockify also allows you to manage when and how your team members use time off balances.<\/p>\n\n\n\n<p><strong>Set policy expiration<\/strong><\/p>\n\n\n\n<p class=\"translation-block\">You can define whether the balance for a specific time-off policy <strong>expires<\/strong> or <strong>never expires<\/strong>. This setting affects all users under that policy.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Go to the <strong>Time off<\/strong> page and open <strong>Manage policies<\/strong> in <strong>Settings<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Edit <\/strong>next to the policy you want to change<\/li>\n\n\n\n<li class=\"translation-block\">Go to the <strong>Balance expiry<\/strong> section and choose one of two options:\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>Never expires<\/strong> (default)<br>Balance doesn\u2019t have an expiry date<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Has expiry dates<\/strong><strong><br><\/strong>All future accruals and balances for this policy require a defined <strong>start<\/strong> and <strong>end<\/strong> date<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<p><strong>Important to note<\/strong>:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">If you switch the policy to <strong>Never expires<\/strong>, all existing start and end dates on user balances will be removed<\/li>\n\n\n\n<li class=\"translation-block\">If you switch policy to <strong>Has expiry dates<\/strong>, all existing balances get a start date of today and all future balances will require a start and end date<\/li>\n<\/ul>\n\n\n\n<p>When a user requests time off, Clockify always deducts days from the balance that is expiring soonest.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">View and track time off<\/h2>\n\n\n\n<p class=\"translation-block\">Once you have set up your time off policies and holidays, you can track your team\u2019s time off requests on the <strong>Timesheet<\/strong>, <strong>Calendar<\/strong>, <strong>Time off<\/strong>, and <strong>Schedule<\/strong> pages.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">FAQ<\/h2>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>Can I have different policies for different types of leave (vacation, sick leave, etc.)?<\/strong><\/h4>\n\n\n\n<p>Yes, you can create multiple time off policies and assign them to different members or groups based on the type of leave.<\/p>\n\n\n\n<p><strong>Can I set different holiday calendars for teams in other countries?<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"translation-block\">Absolutely. When creating or editing a holiday, use the <strong>Assigned members <\/strong>field to select only the specific users or groups located in that region.
