{"id":23507,"date":"2025-06-25T11:48:32","date_gmt":"2025-06-25T11:48:32","guid":{"rendered":"https:\/\/clockify.me\/help\/?p=23507"},"modified":"2026-04-24T06:29:38","modified_gmt":"2026-04-24T06:29:38","slug":"time-mismatch","status":"publish","type":"post","link":"https:\/\/clockify.me\/help\/troubleshooting\/permissions\/time-mismatch","title":{"rendered":"Time and amounts mismatch in reports"},"content":{"rendered":"\n<p>If you\u2019re noticing a mismatch in your reports, here are a few common reasons why that happens:<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Compact mode is enabled<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>In Compact Mode, each time entry is automatically rounded to the nearest full minute for display purposes only<\/li>\n\n\n\n<li>This does not affect the actual tracked time; the system always stores time in the full format<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">How to display the exact time format<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click the three dots next to your workspace name<\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Workspace settings<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Under the <strong>Duration Format <\/strong>drop-down, select <strong>Full<\/strong><\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/lh7-rt.googleusercontent.com\/docsz\/AD_4nXcQlnfhpNHlSkVZDMr8EN8QFAbFtUTxcMX6pZZubZJac8wvhX-nMm95PYHTg9cN_5JJgIapYPh4VQVodXhA3LSQIL-ZSVBHElX6EZIunrrUn1TKvWWMR8-EO8uDO-8rKbRJkkig1Q?key=XZmssafXgdhlV2XB9mRUkEGN\" alt=\"\"\/><\/figure>\n\n\n\n<p>Once you switch to the full format, your reports will show the most accurate data without rounding.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Rate hierarchy affects calculations<\/h2>\n\n\n\n<p>Billing amounts may differ depending on how rates are applied. In Clockify, a more specific rate overrides a less specific one in this order:<\/p>\n\n\n\n<p class=\"translation-block\"><strong>Project\u2019s member rate &gt; Task rate &gt; Project rate &gt; Member rate &gt; Workspace rate<\/strong><\/p>\n\n\n\n<p><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How to check which rates are applied&nbsp;<\/h3>\n\n\n\n<p>To identify where a rate is coming from, you can check each level in the rate hierarchy:<\/p>\n\n\n\n<p><strong>Project Member Rate<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Go to the <strong>Projects<\/strong> page and open the relevant project<\/li>\n\n\n\n<li class=\"translation-block\">Navigate to the <strong>Access<\/strong> tab inside the project<\/li>\n\n\n\n<li class=\"translation-block\">Check the <strong>Billable rate<\/strong> column for each team member<\/li>\n<\/ol>\n\n\n\n<ul class=\"wp-block-list\">\n<li><\/li>\n<\/ul>\n\n\n\n<figure class=\"translation-block\">You can edit the rates by clicking the <strong>Change<\/strong> button next to each hourly rate. On a paid plan, you have an option to apply the rate retroactively by selecting the <strong>Apply to all future and past time entries<\/strong>.<\/p>\n<\/div><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Discrepancy in Excel report<\/h2>\n\n\n\n<p>If you\u2019re seeing small differences in totals when exporting reports to Excel, this is due to how decimals are handled:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The web app and PDF exports calculate the amounts using 4 decimal places, which ensures precise totals, especially when time is multiplied by hourly rates.&nbsp;<\/li>\n\n\n\n<li>When exporting to Excel, the data is sent with only 2 decimal places for display and compatibility reasons<\/li>\n\n\n\n<li>If you use Excel\u2019s SUM formula, the totals may be slightly off due to rounding at the line-item level<\/li>\n<\/ul>\n\n\n\n<p><strong>Example:&nbsp;<\/strong><\/p>\n\n\n\n<p>A time entry amount of $33.3368 might appear as $33.34 in Excel. When summed across multiple entries, those small differences can add up.&nbsp;<\/p>\n\n\n\n<p><strong>For the most accurate values:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Rely on the web report or PDF export, which reflects the true calculation using full decimal precision.&nbsp;<\/li>\n\n\n\n<li>Use Excel exports primarily for raw data or basic overviews<\/li>\n<\/ul>\n\n\n\n<p>Still having issues?
