If you\u2019ve set up a time or budget estimate on a project or a task but aren\u2019t receiving alerts when the threshold is crossed, here\u2019s how to troubleshoot the issue and ensure alerts are properly delivered.\u00a0<\/p>\n\n\n\n

Alerts are not sent immediately\u00a0<\/h2>\n\n\n\n

Estimate alerts are sent approximately 30 minutes after the threshold is reached, meaning that if your estimate is set to trigger at 80%, an alert won\u2019t appear instantly. It will typically be delivered via email within 30-40 minutes. <\/p>\n\n\n\n

Alerts are only sent once per threshold<\/h2>\n\n\n\n

Clockify sends a single alert when the estimate threshold is reached, for example, 80% or 100%. If your tracked time jumps rapidly past multiple thresholds, you\u2019ll only receive the alert for the highest one reached, not for the lower thresholds passed. <\/p>\n\n\n\n

Workspace alert rules may be misconfigured\u00a0<\/h2>\n\n\n\n

Admins define who receives alerts and when they are sent. If no alert rules exist or the wrong group is selected, notifications won\u2019t go out. <\/p>\n\n\n\n

How to check (Admins):<\/p>\n\n\n\n

    \n
  1. Click on the three dots next to the Workspace name<\/li>\n\n\n\n
  2. Select \u201cWorkspace settings\u201d<\/li>\n\n\n\n
  3. Navigate to the Alerts tab<\/li>\n\n\n\n
  4. Review the rules and confirm which group is selected:<\/li>\n<\/ol>\n\n\n\n
      \n
    • Admins<\/li>\n\n\n\n
    • Project Managers<\/li>\n\n\n\n
    • Project Members<\/li>\n<\/ul>\n\n\n\n

      You can define multiple rules that include all groups by clicking on the \u201cAdd\u201d button.\u00a0<\/p>\n\n\n\n

      Your role doesn\u2019t match the alert rule<\/h2>\n\n\n\n

      Even if you are a part of the workspace, you won\u2019t receive alerts unless your role matches the selected rule.<\/p>\n\n\n\n


      Examples:<\/p>\n\n\n\n

        \n
      • If the rule says Project managers, you must be assigned as a project manager on that project.\u00a0<\/li>\n\n\n\n
      • If the rule says Project members, you must be added to the project access list.\u00a0<\/li>\n<\/ul>\n\n\n\n

        How to verify:<\/p>\n\n\n\n

          \n
        • For Project Managers:<\/li>\n<\/ul>\n\n\n\n
            \n
          1. Navigate to the Projects page from the sidebar<\/li>\n\n\n\n
          2. Check the list of projects for that specific project<\/li>\n<\/ol>\n\n\n\n

            Clockify only shows you the projects you are officially assigned to manage. <\/p>\n\n\n\n

            • For regular users (verified by Admins or Project Managers)<\/li>\n<\/ul>\n\n\n\n
                \n
              1. Navigate to the Projects page from the sidebar<\/li>\n\n\n\n
              2. Click on the project to open it\u00a0<\/li>\n\n\n\n
              3. Go to the Access tab<\/li>\n\n\n\n
              4. Check if the team member in question is listed under the \u201cMembers\u201d section<\/li>\n<\/ol>\n\n\n\n

                Your personal email preferences may be disabled<\/h2>\n\n\n\n

                Even if the alert rules are correct, you won\u2019t receive alerts if you\u2019ve disabled them in your email preferences. <\/p>\n\n\n\n

                1. Click on your profile picture located in the upper-right corner and select \u201cPreferences\u201d<\/li>\n\n\n\n
                2. Navigate to the \u201cEmail Preferences\u201d tab<\/li>\n\n\n\n
                3. Make sure \u201cAlerts\u201d option is selected<\/li>\n<\/ol>\n\n\n\n
