{"id":27562,"date":"2025-11-25T09:08:16","date_gmt":"2025-11-25T09:08:16","guid":{"rendered":"https:\/\/clockify.me\/help\/?p=27562"},"modified":"2026-01-26T10:59:07","modified_gmt":"2026-01-26T10:59:07","slug":"time-off-balance","status":"publish","type":"post","link":"https:\/\/clockify.me\/help\/track-time-and-expenses\/time-off-balance","title":{"rendered":"Time off balance"},"content":{"rendered":"\n<p class=\"translation-block\">Clockify gives you the flexibility to define how and when your team uses their time off.&nbsp;<br>Update your time off policy to have full control of time of balance and improve time off management of your team.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Edit time off policy<\/h2>\n\n\n\n<p class=\"translation-block\">To edit time off policy: <\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Go to the <strong>Time off<\/strong> page and click <strong>Settings<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Choose <strong>Manage policies<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Choose policy and click <strong>Edit <\/strong>from the three-dot menu next to your policy<\/li>\n\n\n\n<li class=\"translation-block\">Update the following settings: <br>&#8211; <strong>Balance expiry<\/strong>: <strong>Has expiration date<\/strong> or <strong>Never expires<\/strong><br>&#8211; <strong>Automatic accrual<\/strong>: How and when new days are added<br>&#8211; <strong>Negative balance<\/strong>: Enable negative balance and set maximum limit<br>&#8211; <strong>Reset rules<\/strong>: Set if\/when negative balance automatically resets to zero<\/li>\n\n\n\n<li>Save changes<\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading\">Set policy expiration<\/h3>\n\n\n\n<p class=\"translation-block\">You can define if the balance for a specific time off policy expires or never expires. This setting affects all users under that policy.<\/p>\n\n\n\n<ol class=\"wp-block-list translation-block\">\n<li class=\"translation-block\">Go to <strong>Time off<\/strong> page and open <strong>Manage policies<\/strong> in <strong>Settings<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Edit<\/strong> next to the policy you want to change<\/li>\n\n\n\n<li class=\"translation-block\">Go to the <strong>Balance expiry<\/strong> section and choose one of two options:\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>Never expires<\/strong> (default)<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Has expiry dates<\/strong><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-large translation-block\">The balance that <strong>Never expires<\/strong> doesn\u2019t have an expiry date and start\/end date.<br>If you choose <strong>Has expiry dates<\/strong>, all future accruals and balances for this policy require a defined start and end date.<\/p>\n\n\n\n<p class=\"note translation-block\">When changing policies you switch from <strong>Has expiry dates<\/strong> to <strong>Never expires<\/strong>, all existing dates will be removed.<br>If you switch to <strong>Has expiry dates<\/strong>, all existing balances will automatically be given a start date of today and future balance additions will require defined dates.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"800\" height=\"447\" class=\"wp-block-heading\">Choose right expiry date<\/h3>\n\n\n\n<p class=\"translation-block\">Choose an expiry date for time off balances based on your company&#8217;s policy, give employees clear deadlines for using their time and reduce unused paid time off. <br>You can set <strong>Never expires<\/strong> for permanent balances (e.g. sick leave) or <strong>Has expiry dates<\/strong> for time-limited balance (e.g. annual vacation).<\/p>\n\n\n\n<figure class=\"wp-block-table is-style-stripes translation-block\"><table expiry date<\/strong><\/td><td>Annual vacation, fiscal year leave, time-limited perks<\/td><td>Encourages employees to take breaks and prevents large accrual payouts<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Allow negative balance<\/h3>\n\n\n\n<p>If you allow negative balance, all workspace members will be able to request time off even if they don&#8217;t have enough available hours\/days (e.g. for Sick leave). <\/p>\n\n\n\n<p>To allow negative balance:<\/p>\n\n\n\n<ol class=\"wp-block-list translation-block\">\n<li class=\"translation-block\">Go to <strong>Time off<\/strong> page and open <strong>Manage policies<\/strong> in <strong>Settings<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Edit<\/strong> next to the policy you want to change<\/li>\n\n\n\n<li class=\"translation-block\">Check <strong>Allow negative balance<\/strong> class=\"translation-block\"><strong>Limit the number of days<\/strong> that user can request within a specific period<\/li>\n\n\n\n<li class=\"translation-block\">Choose to <strong>Reset negative balance<\/strong> at the end of the year to automatically clear all negative time off and return balances to <strong>0<\/strong> at the end of the year    <\/li>\n<\/ol>\n\n\n\n<p class=\"tip\">By resetting negative balance, you&#8217;ll clear all negative days without affecting any time off days that the employee has earned.  <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Manage individual user balance<\/h3>\n\n\n\n<p>Owners and admins can apply a specific validity period (start and end date) to any user\u2019s balance. This way users request time off during a specific timeframe.
