The QuickBooks Payroll add-on lets you connect your Clockify workspace to sync your time tracking, financial reporting, and payroll processing with Quickbooks Online.<\/p>\n\n\n\n

This is a paid <\/strong>add-on that requires a separate subscription from your Clockify plan. The add-on subscription fee is $6.99 per month for the whole workspace.<\/p>\n<\/div><\/div>\n\n\n\n

Before you begin<\/h3>\n\n\n\n

For Clockify and QuickBooks to communicate properly, the names of your users and clients must match perfectly in both systems.       <\/p>\n\n\n\n

  1. Match Employees:<\/strong> The User Name<\/strong> in Clockify (found in Profile settings) must be identical to the Employee Display Name<\/strong> in QuickBooks.<\/li>\n\n\n\n
  2. Match Customers:<\/strong> The Project Name<\/strong> in Clockify must be identical to the Customer Name<\/strong> (or Project Name) in QuickBooks.  <\/li>\n<\/ol>\n\n\n\n

    To keep your integration running smoothly, please keep in mind that enabling QuickBooks Online Native Projects will bypass our strict Customer\/Sub-customer mapping. Because of this, you might occasionally notice some duplicate entries. If you use Native Projects, just be sure to double-check your data to ensure accuracy and avoid duplicates.<\/p>\n<\/div><\/div>\n\n\n\n

    Install the add-on<\/h2>\n\n\n\n

    To install the add-on:<\/p>\n\n\n\n

    1. Go to the CAKE.com<\/a> Marketplace<\/li>\n\n\n\n
    2. Select Quickbooks Payroll<\/strong> from the list of add-ons<\/li>\n\n\n\n
    3. Click Install<\/strong><\/li>\n\n\n\n
    4. Follow the prompts to complete the installation<\/li>\n<\/ol>\n\n\n\n

      Connect your accounts<\/h2>\n\n\n\n

      To begin connecting your Clockify account with Quickbooks:<\/p>\n\n\n\n

      1. Log in to your Clockify account<\/li>\n\n\n\n
      2. Click the three-dot icon<\/strong> next to your workspace name<\/li>\n\n\n\n
      3. Select Workspace Settings<\/strong><\/li>\n\n\n\n
      4. Click Integrations & add-ons<\/strong> from the sidebar<\/li>\n\n\n\n
      5. Click the three dot icon next to QuickBooks Payroll<\/strong><\/li>\n\n\n\n
      6. Click Settings<\/strong><\/li>\n<\/ol>\n\n\n\n

        7. Click Connect to QuickBooks<\/strong> on the next page<\/p>\n\n\n\n

        Make sure you have your QuickBooks login details handy to easily authorize the connection.

        After successfully completing the integration, you should be able to see your team in your Quickbooks account by going to Team > Employees<\/strong>.<\/p>\n\n\n\n

        Send time entries to Quickbooks<\/h2>\n\n\n\n

        To send time entries to Quickbooks from Clockify:<\/p>\n\n\n\n

          \n
        1. Go to Reports > Detailed<\/strong><\/li>\n\n\n\n
        2. Filter the reports as needed (e.g., by Client, Team member, Project, or date range)<\/li>\n\n\n\n
        3. Click on the Actions<\/strong> drop down on top of the table<\/li>\n\n\n\n
        4. Select Send to Quickbooks<\/strong> Payroll<\/strong><\/li>\n<\/ol>\n\n\n\n

          A pop-up window should appear to confirm that entries were sent to QuickBooks.<\/p>\n\n\n\n

          What gets sent?<\/strong> <\/p>\n\n\n\n

          Clockify will push the following:<\/p>\n\n\n\n

            \n
          • User’s name<\/li>\n\n\n\n
          • Date<\/li>\n\n\n\n
          • Project (Customer)<\/li>\n\n\n\n
          • Duration<\/li>\n\n\n\n
          • Description<\/li>\n\n\n\n
          • Billable status<\/li>\n\n\n\n
          • Billable rate<\/li>\n<\/ul>\n\n\n\n

            Once sent, the entries are marked as “Sent” in Clockify and cannot be sent again.<\/p>\n\n\n\n

            To find sent entries in Quickbooks, go to QuickBooks Reports<\/strong> and open the Time Activities by employee Detailed Report<\/strong>.<\/p>\n\n\n\n

            The maximum duration for an individual time entry that can be sent from Clockify to QuickBooks is 23 hours and 55 minutes.<\/strong> Time entries that exceed this limit will not sync successfully. Split the tracked time into two or more separate entries within Clockify before exporting the data to QuickBooks.<\/p>\n<\/div><\/div>\n\n\n\n

            Filter entries<\/h2>\n\n\n\n

            You can filter time entries in the Detailed Report to view sent and unsent entries to Quickbooks.

            1. Go to Reports > Detailed<\/strong><\/p>\n\n\n\n

            2. Set the date range using the calendar
            3. Apply additional filters according to the data you need
            4. Click Show sent entries<\/strong> to expand the dropdown
            5. Select any of the following:<\/p>\n\n\n\n

              \n
            • Show sent entries<\/strong>: Displays entries that have been successfully exported to QuickBooks.<\/li>\n\n\n\n
            • Show not sent entries<\/strong>: Displays entries that have not yet been sent or failed to export.<\/li>\n\n\n\n
            • Show sent and updated entries<\/strong>: Displays entries that were exported previously but modified afterward. If you wish to update these entries in QuickBooks, you\u2019ll have to send them again.<\/li>\n<\/ul>\n\n\n\n

              Set service types<\/h2>\n\n\n\n

              Service types created in QuickBooks sync directly with Clockify. You can choose the appropriate service type for your entries before sending them over to QuickBooks.<\/p>\n\n\n\n

              1. Go to Reports > Detailed<\/strong>
              2. Filter the data you want to send to Quickbooks
              3. Click Select service type<\/strong> dropdown
              4. Select the service type you want from the list
              5. Click Send to Quickbooks Payroll<\/strong><\/p>\n\n\n\n

              If you don\u2019t select a service type, Quickbooks sets it to the default Service category.

              To uninstall the QuickBooks add-on:<\/p>\n\n\n\n

              1. Select Workspace Settings<\/strong><\/li>\n\n\n\n
              2. Click the Integrations & add-ons<\/strong> page<\/li>\n\n\n\n

              4. Click Uninstall<\/strong><\/li>\n\n\n\n
              5. Confirm the action<\/li>\n<\/ol>\n\n\n\n

                Frequently Asked Questions (FAQs)<\/h2>\n\n\n\n

                What should I do if the integration gets stuck or data fails to process repeatedly?<\/strong><\/p>\n\n\n\n

                If your data mapping is completely accurate but the sync remains unsuccessful, resetting the API handshake usually clears the error:<\/p>\n\n\n\n

                1. Go to Clockify Workspace settings > Integrations & add-ons<\/strong> tab<\/li>\n\n\n\n
                2. Click the three dots icon<\/strong> next to QuickBooks Payroll add-on <\/li>\n\n\n\n
                3. Select Settings<\/strong><\/li>\n\n\n\n
                4. Click Disconnect from QuickBooks<\/strong><\/li>\n\n\n\n
                5. Confirm the action<\/li>\n\n\n\n
                6.
