Click the three-dot icon next to the workspace name<br>2. Select <strong>Workspace settings<\/strong><br>3. Click <strong>Custom Fields<\/strong><br>4. Click <strong>Create<\/strong><br>5. Enter a name and description for the field<br>6. Select the field type:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>Text <\/strong>&#8211; Enter any text<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Number <\/strong>&#8211; Accepts only numerical values<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Link <\/strong>&#8211; Accepts a URL for files or websites<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Switch <\/strong>&#8211; Provides a simple <strong>Yes\/No<\/strong> toggle<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Select <\/strong>&#8211; Lets you choose only one option from a predefined list<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Select Multiple <\/strong>&#8211; Lets you choose multiple options from a predefined list<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"706\" height=\"380\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2020\/02\/Create-custom-fields.gif\" alt=\"\" class=\"wp-image-27697\"\/><\/figure>\n\n\n\n<p class=\"translation-block\">You can also set <strong>Who can edit<\/strong> to either <strong>Everyone<\/strong> or <strong>Admins<\/strong>.<\/p>\n\n\n\n<p class=\"translation-block\">If you set a field to be <strong>Admin-only editable<\/strong>, regular users can&#8217;t change its value, but they can still see it on their time entries.<\/p>\n\n\n\n<p class=\"note\">You can create up to 50 custom fields.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Activate custom fields<\/h2>\n\n\n\n<p>Users won\u2019t see custom fields until you activate them. To activate custom fields:<\/p>\n\n\n\n<p class=\"translation-block\">1. Go to <strong>Workspace settings<\/strong><br>2. Click <strong>Custom Fields<\/strong><br>3. Drag the field from the <strong>Available<\/strong> column and drop it to the <strong>Visible<\/strong> slot in the <strong>Active<\/strong> column.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"698\" height=\"384\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2020\/02\/Activate-custom-fields.gif\" alt=\"\" class=\"wp-image-27699\"\/><\/figure>\n\n\n\n<p class=\"note translation-block\">A maximum of <strong>five (5)<\/strong> active visible fields is allowed for the entire workspace.<\/p>\n\n\n\n<p>Active visible fields will appear in the Timesheet and Time Tracker for everyone in the workspace.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Invisible fields<\/h2>\n\n\n\n<p class=\"translation-block\">Invisible fields aren\u2019t visible to users in the time entries. However, they will exist on the entries and appear in Excel\/CSV exports of the <a href=\"https:\/\/clockify.me\/help\/getting-started\/getting-started-as-admin-and-workspace-owner\/get-started-with-workspace-members-reports#detailed-report\">Detailed Report<\/a>.<br><br>Invisible fields are used to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Automatically inherit metadata (such as project ID) from the project<\/li>\n\n\n\n<li>Update entries via API or integrations<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Customize fields by project<\/h2>\n\n\n\n<p>You can override workspace-level settings and apply custom fields to individual projects.<\/p>\n\n\n\n<p class=\"translation-block\">1. Go to the <strong>Projects <\/strong>page<br>2. Click on the project<br>3. Go to <strong>Settings<\/strong><br>4. Click <strong>Custom Fields<\/strong><br>5. Find the <strong>Additional fields<\/strong> section<br>6. A default value always overrides any existing custom field value on a time entry when a user changes the project associated with the entry.<\/p>\n<\/div><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Advanced usage<\/h2>\n\n\n\n<p>You can use the four core mechanisms below to customize your workflow:<\/p>\n\n\n\n<figure class=\"wp-block-table translation-block\"><table class=\"has-fixed-layout\"><tbody><tr><td><strong>Permissions<\/strong><\/td><td><strong>Visibility<\/strong><\/td><td><strong>Default value<\/strong><\/td><td><strong>Use case<\/strong><\/td><\/tr><tr><td>Everyone<\/td><td>Visible<\/td><td>Empty<\/td><td>Capture user input (e.g., mileage, receipts)<\/td><\/tr><tr><td>Everyone<\/td><td>Invisible<\/td><td>Inherits<\/td><td>Stamp entries with project metadata (e.g., project ID)<\/td><\/tr><tr><td>Admins<\/td><td>Visible<\/td><td>Inherits<\/td><td>Show project information for user reference<\/td><\/tr><tr><td>Admins<\/td><td>Invisible<\/td><td>Empty<\/td><td>Prepare entries for admin-only API updates<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Make a custom field required<\/h2>\n\n\n\n<p>You can set a custom field as required to ensure users always enter data for a field.<\/p>\n\n\n\n<p class=\"translation-block\">1. Set the custom field as <strong>Visible<\/strong><br>2. Set <strong>Who can edit<\/strong> to <strong>Everyone<\/strong> or define a default value<br>3. Navigate to <strong>Workspace Settings &gt; General<\/strong><br>4. Select the field under the <strong>Don\u2019t allow saving time without <\/strong>section<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"662\" height=\"406\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2020\/02\/Make-custom-field-required.gif\" alt=\"\" class=\"wp-image-27701\"\/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Edit custom field<\/h2>\n\n\n\n<p>When you edit a field, the change doesn&#8217;t impact older entries. You must manually update existing time entries to add a newly created field or change its value.<\/p>\n\n\n\n<p class=\"translation-block\">To edit a field:<br><br>1. Navigate to <strong>Workspace settings<\/strong><br>2. Select <strong>Custom Fields<\/strong><br>3. Find the field<strong> you want<\/strong> to edit in either the <strong>Active<\/strong> or <strong>Available<\/strong> column<br>4. Click the <strong>expand button<\/strong> next to the field name<br>5. Make your changes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Modify the field name<\/li>\n\n\n\n<li class=\"translation-block\">Change the <strong>Who can edit<\/strong> permission<\/li>\n\n\n\n<li class=\"translation-block\">Update the options (for <strong>Select\/Select Multiple<\/strong> fields)<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">6. Click <strong>Save<\/strong> to apply your changes<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"662\" height=\"406\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2020\/02\/Edit-custom-field.gif\" alt=\"\" class=\"wp-image-27703\"\/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Deactivate custom field<\/h2>\n\n\n\n<p>Deactivating a field is applicable if you want to retain data from previous entries but don\u2019t want to use the field in new entries.&nbsp;<\/p>\n\n\n\n<p>To deactivate a field:<\/p>\n\n\n\n<p class=\"translation-block\">1. Go to <strong>Workspace settings &gt; Custom Fields<\/strong><br>2. Move the field from the <strong>Active fields<\/strong> column to the <strong>Available fields<\/strong> column.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"662\" height=\"406\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2020\/02\/Deactivate-custom-field.gif\" alt=\"\" class=\"wp-image-27704\"\/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Delete custom field<\/h2>\n\n\n\n<p>When you delete a custom field, it permanently removes the field and all its data from every time entry in the workspace. There isn&#8217;t an undo option.<\/p>\n\n\n\n<p class=\"translation-block\">To delete a custom field:<br><br>1. Go to <strong>Workspace settings &gt; Custom Fields<\/strong><br>2. Click the expand button next to the field name you want to delete<br>3.&nbsp; Scroll down and click <strong>Delete<\/strong><br>4.
