{"id":45,"date":"2018-01-25T10:05:16","date_gmt":"2018-01-25T10:05:16","guid":{"rendered":"http:\/\/clockify.me\/help\/?p=45"},"modified":"2026-10-09T08:49:18","modified_gmt":"2026-10-09T08:49:18","slug":"categorizing-time-entries","status":"publish","type":"post","link":"https:\/\/clockify.me\/help\/track-time-and-expenses\/categorizing-time-entries","title":{"rendered":"Time categorization &#038; tags"},"content":{"rendered":"\n<p class=\"translation-block wp-block-paragraph\">Clockify enables you to organize and analyze your time using a three-level structural hierarchy: <strong>Clients, Projects, and Tasks<\/strong>. <br><\/p>\n\n\n\n<p class=\"translation-block wp-block-paragraph\">You can further categorize and add detailed context to your individual time entries using independent features like <strong>Descriptions<\/strong> and <strong>Tags<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you wish to categorize time differently, you can rename Project, Client, and Task labels into something else.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"968\" height=\"628\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/organization-schema-in-clockify.png\" alt=\"\" class=\"wp-image-528\"\/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">How to organize time entries<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>If you do client work<\/strong>, name projects with the title of the assignment given by your client (e.g. &#8220;E-commerce Analytics&#8221;, &#8220;Website Redesign&#8221;, \u201cSuperApp\u201d).&nbsp;You can also have a special project where you&#8217;ll put all non-billable time entries (e.g. emails, time-off, meetings).<\/li>\n\n\n\n<li class=\"translation-block\"><strong>If you do client work but want to keep it simple<\/strong>, you can just use client&#8217;s name as the project name and then use tasks to indicate what type of service you&#8217;ve provided (you can also change the <strong>project<\/strong> label to say <strong>client<\/strong> instead).<\/li>\n\n\n\n<li class=\"translation-block\"><strong>If you have common projects for different clients<\/strong>, you can use projects for the type of service (e.g. marketing, development) and use tags to indicate for which client a particular time entry was.<\/li>\n\n\n\n<li class=\"translation-block\"><strong>If you don&#8217;t work with clients<\/strong>, you can use projects as&nbsp;general areas of work (e.g. sales, operations, support).<\/li>\n\n\n\n<li class=\"translation-block\"><strong>If you use Clockify for tracking personal productivity<\/strong>, you can name projects by activity (e.g. emails, working, learning, cooking).<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Clients, projects, and tasks<\/h2>\n\n\n\n<p class=\"translation-block wp-block-paragraph\"><a href=\"https:\/\/clockify.me\/help\/projects\/creating-projects\">Projects<\/a> serve as the primary structure for organizing time in Clockify. Higher up, you can group related projects under clients, departments, or other categories. <a href=\"https:\/\/clockify.me\/help\/projects\">Learn more about managing projects<\/a>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><a href=\"https:\/\/clockify.me\/help\/projects\/creating-projects#managing-clients\">Clients<\/a> group projects together. A single client can have multiple projects, but each project belongs to only one client.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Since clients serve as visual groupings for projects, you cannot assign a client directly to a time entry. Instead, you can create a project named after the client, or create a client tag to apply to time entries for simplified reporting.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For additional structure, classify entries using <a href=\"https:\/\/clockify.me\/help\/projects\/working-with-tasks\">tasks<\/a> (sub-projects or specific job types) to represent services like design, writing, or programming, or milestones such as sprints and phases.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">While tasks usually capture the type of activity (e.g., Design, Coding), the description field provides space for specific details about the work done (e.g., &#8220;Fix bug #638&#8221;).<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Change labels<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">By default, time in Clockify can be categorized by Client\/Project\/Task.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To change these labels into something else:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click on the three dot icon next to your workspace name<\/li>\n\n\n\n<li>Select <strong>Workspace settings<\/strong><\/li>\n\n\n\n<li>Select <strong>Time tracking<\/strong> from the sidebar<\/li>\n\n\n\n<li>Click the <strong>Edit<\/strong> button opposite <strong>Customize labels<\/strong><\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"508\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/Customize-labels-1024x508.png\" alt=\"\" class=\"wp-image-35173\" srcset=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/Customize-labels-1024x508.png 1024w, https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/Customize-labels-300x149.png 300w, https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/Customize-labels-768x381.png 768w, https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/Customize-labels-18x9.png 18w, https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/Customize-labels-1536x762.png 1536w, https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/Customize-labels-2048x1016.png 2048w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">5. However, they still won&#8217;t be able to see the <strong>Clients<\/strong> page.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How owners, admins and project managers can create clients<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">If you&#8217;re the owner or an admin of the workspace, to create a client simply:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Go to <strong>Clients<\/strong> page from the sidebar<\/li>\n\n\n\n<li class=\"translation-block\">Enter the client&#8217;s name in the <strong>Add new client<\/strong> field <\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Add<\/strong><\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading\">How regular users can create clients<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">If you want <strong>regular users<\/strong> to be able to add clients:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Admin or owner needs to set <strong>Who can create projects and clients<\/strong> to <strong>Anyone<\/strong><\/li>\n\n\n\n<li>A regular user can then go to the Projects page to create a project<\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Select client<\/strong><\/li>\n\n\n\n<li>Enter client name<\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Create client<\/strong> or press<strong> Ctrl \/^ (Control) + Enter<\/strong><\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">If you want to create a client only, simply create the client with the mentioned steps above and cancel the project creation.<\/p>\n\n\n\n<figure class=\"wp-block-image is-resized\"><img loading=\"lazy\" decoding=\"async\" width=\"498\" height=\"293\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/Create-new-client-1.png\" alt=\"\" class=\"wp-image-4172\" style=\"aspect-ratio:1.6997227935258874;width:491px;height:auto\" srcset=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/Create-new-client-1.png 498w, https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/Create-new-client-1-300x177.png 300w, https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/Create-new-client-1-60x35.png 60w, https:\/\/clockify.me\/help\/wp-content\/uploads\/2018\/01\/Create-new-client-1-150x88.png 150w\" sizes=\"auto, (max-width: 498px) 100vw, 498px\" \/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Archive clients<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Only owners and admins of the workspace can archive clients. Only after the client is archived you will be able to delete it. <\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to Clients page from sidebar<\/li>\n\n\n\n<li>Click on three dots next to the client\u2019s name<\/li>\n\n\n\n<li>Choose Archive<\/li>\n\n\n\n<li>Confirm the action in the pop-up window. There you will also have the option to archive all projects assigned to that client<\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading\">Restore clients<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Only owners and admins of the workspace can restore archived clients. Clients can only be restored after being archived<strong>.<\/strong> <\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to Clients page from sidebar <\/li>\n\n\n\n<li>Select Show archived or Show all from the drop-down menu<\/li>\n\n\n\n<li>Click on three dots next to the archived client\u2019s name<\/li>\n\n\n\n<li>Choose Restore<\/li>\n\n\n\n<li>Confirm the action<\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading\">Delete clients<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Only owners and admins of the workspace can delete clients. Clients can only be deleted after being archived<strong>.<\/strong> <\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to Clients page from sidebar <\/li>\n\n\n\n<li>Select Show archived or Show all from the drop-down menu<\/li>\n\n\n\n<li>Click on three dots next to the archived client\u2019s name<\/li>\n\n\n\n<li>Choose Delete<\/li>\n\n\n\n<li>Confirm the action<\/li>\n<\/ol>\n\n\n\n<h4 class=\"wp-block-heading\">Delete clients in bulk<\/h4>\n\n\n\n<p class=\"translation-block wp-block-paragraph\">If you have a lot of archived clients and you&#8217;d like to clean up your <strong>Clients<\/strong> page, you can bulk delete them in the following way: <\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Check the <strong>Name<\/strong> box on the <strong>Clients<\/strong> page<\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Delete<\/strong> <\/li>\n\n\n\n<li>Type DELETE in the popup windows <\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Delete <\/strong>to confirm the action<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">All deleted clients will be removed from time entries they are assigned to. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Manage tags<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">When projects and tasks aren\u2019t enough to keep things organized, use tags.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The best thing about tags is that they are available across the workspace.&nbsp;Tags work regardless of the project, so you can create one tag, use it on multiple projects and filter reports based on them. You can even use multiple tags to filter reports with more&nbsp;precision.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Tags can also be used to add additional information to time entries. For example, you can:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">Mark time entries with<strong> non-standard billing rates or currencies<\/strong> so you know how to invoice them<\/li>\n\n\n\n<li class=\"translation-block\">Mark <strong>time entries you\u2019ve invoiced<\/strong> with <strong>invoiced<\/strong> tag so you don\u2019t bill a client twice (you can use <a href=\"https:\/\/clockify.me\/help\/track-time-and-expenses\/editing-time-entries#update-multiple-time-entries-in-a-bulk\">bulk edit<\/a> to update multiple entries at once)<\/li>\n\n\n\n<li class=\"translation-block\">Mark what<strong> type of work or service you provide<\/strong> (e.g. project management, feedback, debugging, coding), so you can see how much time takes to perform a specific type of work across all projects<\/li>\n\n\n\n<li class=\"translation-block\">Mark what <strong>part of business<\/strong> you\u2019re working on (e.g. internal, support, client work, mobile)<\/li>\n\n\n\n<li class=\"translation-block\">Mark the amount of time you worked <strong>overtime<\/strong><\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block wp-block-paragraph\">Tags are useful because you can use them as keywords by which you can&nbsp;<a href=\"https:\/\/clockify.me\/help\/reports\/filtering-reports\" target=\"_blank\" rel=\"noreferrer noopener\" aria-label=\" (opens in a new tab)\">filter<\/a>&nbsp;reports to find exactly what you need.<\/p>\n\n\n\n<p class=\"translation-block wp-block-paragraph\">Before you can use tags, you have to create them by typing a new tag name in the tag picker and pressing <strong>Ctrl \/ ^ (Control) + Enter<\/strong>. Once you\u2019ve created a tag, all users in your workspace can select it when tracking time.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Everyone can create tags (though you can limit creation to Admins only in workspace settings). Only admins can edit, and delete tags. You can create as many tags as you want.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Create tags<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to Tags page from sidebar<\/li>\n\n\n\n<li>Type tag name and click ADD<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Or:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click tag icon on a time entry<\/li>\n\n\n\n<li>Start typing tag name<\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Create tag <\/strong>or press <strong>Ctrl \/ ^ (Control) + Enter<\/strong><\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading\">Archive tags<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to Tags page from sidebar<\/li>\n\n\n\n<li>Click on three dots next to the tag&#8217;s name<\/li>\n\n\n\n<li>Choose Archive<\/li>\n\n\n\n<li>Confirm the action in the pop-up window.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Once the tag is archived you will be able to delete it.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Restore tags<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to Tags page from sidebar<\/li>\n\n\n\n<li>Select Show archived or Show all from the drop-down menu<\/li>\n\n\n\n<li>Click on three dots next to the archived tag&#8217;s name<\/li>\n\n\n\n<li>Choose Restore<\/li>\n\n\n\n<li>Confirm the action<\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading\">Delete tags<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to Tags page from sidebar<\/li>\n\n\n\n<li>Select Show archived or Show all from the drop-down menu<\/li>\n\n\n\n<li>Click on three dots next to the archived tag&#8217;s name<\/li>\n\n\n\n<li>Choose Delete<\/li>\n\n\n\n<li>Confirm the action<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Note: Tags first need to be archived in order to be deleted.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Delete tags in bulk<\/h4>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Check the <strong>Name<\/strong> box on the <strong>Tags<\/strong> page<\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Delete<\/strong> <\/li>\n\n\n\n<li>Type DELETE in the popup windows <\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Delete <\/strong>to confirm the action<\/li>\n<\/ol>\n\n\n\n<p class=\"note wp-block-paragraph\">All deleted tags will be removed from time entries they are assigned to.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Filter reports by tags<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">You can filter time entries in reports in three ways:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>Contains <\/strong>&#8211; all entries that contain that tag will be shown (e.g. if an entry has tag A and B, and you filter <strong>Contains: A<\/strong>, that entry will show up)  <\/li>\n\n\n\n<li class=\"translation-block\"><strong>Doesn&#8217;t contain<\/strong> &#8211; only entries that don&#8217;t have that tag will be shown (e.g. if an entry has tag A and B, and you filter <strong>Doesn&#8217;t contain: A<\/strong>, that entry won&#8217;t show up)  <\/li>\n\n\n\n<li class=\"translation-block\"><strong>Contains only<\/strong> &#8211;
