settings and define a time off policy.<\/p>\n<\/div><\/div>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Open the <strong>three-dots menu<\/strong> at the top left<\/li>\n\n\n\n<li class=\"translation-block\">Choose <strong>Workspace settings<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Scroll down to the <strong>Time off <\/strong>section<\/li>\n\n\n\n<li class=\"translation-block\">Enable time off<\/li>\n\n\n\n<li class=\"translation-block\">Choose if <strong>Regular users can see Time off outside their teams<\/strong> (optional)<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"800\" height=\"414\" of employee.<\/p>\n\n\n\n<p>Each policy has several fields that affects only that policy:<\/p>\n\n\n\n<figure class=\"wp-block-table translation-block\"><table request time off based on this policy.<\/td><\/tr><tr><td><strong>Time unit<\/strong><\/td><td>Can be days or hours.<\/td><\/tr><tr><td><strong>Requires approval<\/strong><\/td><td>If enabled, team members need to submit time off requests for approval. <br><br>If left unchecked, all requests are automatically approved when submitted.<\/td><\/tr><tr><td><strong>Balance expiry<\/strong><\/td><td><strong>Never expires (default)<\/strong>: Balance for this policy won\u2019t have a start or end date and won\u2019t expire.<br><strong>Has expiry dates: <\/strong>Accrual and every balance for this policy need to have a start and end date defined.<\/td><\/tr><tr><td><strong>Automatically accrues<\/strong><\/td><td>When enabled, all active policy members will automatically receive a set number of days or hours on their balance, with a set start and expiry date. <br><br>Clockify sends notification when an accrual period is changed or expires.<\/td><\/tr><tr><td><strong>Start\/end date<\/strong><\/td><td>Defined timeframe when the time off balance can be used.<\/td><\/tr><tr><td><strong>Allow negative balance<\/strong><\/td><td>If checked, team members can request time off even if they don&#8217;t have enough available days\/hours (e.g. for Sick leave). <br><br>You can also limit the number of allowed negative balance.<\/td><\/tr><tr><td><strong>Limit to number of days per period of time<\/strong><\/td><td>Set a limit to a number of days a user can request per defined period.<\/td><\/tr><tr><td><strong>Reset negative balance<\/strong><\/td><td>If enabled, the negative balance will reset at the end of the year to automatically clear all negative time off and return the balance to 0 at the end of each year.<\/td><\/tr><tr><td><strong>Allow half day<\/strong><\/td><td>If enabled, team members can request for a half-day leave, choose the first or second half of a day off for any number of days.<\/td><\/tr><tr><td><strong>Hours<\/strong><\/td><td>If enabled, team members can request for time off in hours instead of days. <\/td><\/tr><tr><td><strong>Automatically create time entries<\/strong><\/td><td>Automatically create time off and holiday entries. <br>Track approved time off requests and holidays with the project class=\"box-content\">\n<p>Keep in mind that new days added to a balance will not automatically clear a negative balance. They will simply be added to the total amount available. Any &#8220;leftover&#8221; amount will appear as a separate negative balance. <\/p>\n<\/div><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Create time off policy<\/h2>\n\n\n\n<p>To create a new time off policy:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Go to <strong>Time Off<\/strong> &gt; <strong>Policies<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Create Policy<\/strong><\/li>\n\n\n\n<li>Enter a name for the policy<\/li>\n\n\n\n<li>Select the team members for whom the policy applies<\/li>\n\n\n\n<li>Select the time unit (Days, hours) and allow half day (optional)<\/li>\n\n\n\n<li class=\"translation-block\">Check <strong>Requires approval <\/strong>if you want to approve time off requests<\/li>\n\n\n\n<li>Select who can approve time off requests (if enabled)<\/li>\n\n\n\n<li>Select whether or not the time off balance expires<\/li>\n\n\n\n<li>Assign expiry date and automatic accrual rules for balance expiry (optional)<\/li>\n\n\n\n<li class=\"translation-block\">Enable negative balance and automatic time entry creation under <strong>Advanced options<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Create<\/strong><\/li>\n\n\n\n<li>Add initial balance and balance expiry (if enabled) for each member in the pop-up window<\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Add<\/strong><\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"800\" height=\"438\" src=\"https:\/\/clockify.me\/help\/wp-content\/uploads\/2021\/05\/Create-time-off.gif\" alt=\"\" class=\"wp-image-30794\"\/><\/figure>\n\n\n\n<p class=\"translation-block\">The new policy should now appear under the <strong>Policies <\/strong>tab. This setting affects all users under that policy. <\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Go to <strong>Time off<\/strong> page and open <strong>Manage policies<\/strong> in <strong>Settings<\/strong><br><\/li>\n\n\n\n<li class=\"translation-block\">Click <strong>Edit <\/strong>next to the policy you want to change<br><\/li>\n\n\n\n<li class=\"translation-block\">Go to the <strong>Balance expiry<\/strong> section and choose one of two options: \n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>Never expires<\/strong> (default)<br>Balance doesn&#8217;t have expiry date<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Has expiry dates<\/strong><br>All future accruals and balances for this policy require defined <strong>start<\/strong> and <strong>end<\/strong> date<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<p><strong>Important to note<\/strong>:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">If you switch policy to <strong>Never expires<\/strong>, all existing start and end dates on user balances will be removed<\/li>\n\n\n\n<li class=\"translation-block\">If you switch policy to <strong>Has expiry dates<\/strong>, all existing balances get a start date of today and all future balances will require a start and end date <\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Manage user&#8217;s balance<\/h3>\n\n\n\n<p>Owners and admins can apply a specific validity period (start and end date) to any user&#8217;s balance. This makes sure that users request time off during a specific timeframe. Once the period ends, the balance will expire and be automatically removed.<\/p>\n\n\n\n<p>To add or edit user&#8217;s balance:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li class=\"translation-block\">Go to the <strong>Time off<\/strong> page and open the <strong>Balance<\/strong> tab <\/li>\n\n\n\n<li class=\"translation-block\">Choose policy at the top of the page<br>If you&#8217;d like the page to display information based on users, choose <strong>User<\/strong> at the dropdown<br><img loading=\"lazy\" decoding=\"async\" width=\"350\" height=\"330\"
