This workspace is a part of your CAKE.com account, which acts as a central hub for all your tools &#8211; including Clockify, Pumble, and Plaky. Learn more about it <a href=\"https:\/\/cake.com\/help\/introduction-to-cake-com\/what-is-cake-com-productivity-suite\/\" target=\"_blank\" rel=\"noreferrer noopener\">here<\/a>.<\/p>\n\n\n\n<p class=\"translation-block\">With the Admin role, you can create as many workspaces as you wish in one organization. If so, having multiple workspaces might be a better option for your team.<\/p>\n\n\n\n<h3 id=\"company-logo\" class=\"wp-block-heading translation-block\">Company logo<\/h3>\n\n\n\n<p class=\"translation-block\">You can start customizing your workspace by adding your company\u2019s logo. You can upload the logo image directly within the workspace settings.<\/p>\n\n\n\n<p class=\"translation-block\">This logo will then be displayed on invoices, shared reports, and exported PDF reports.<\/p>\n\n\n\n<h3 id=\"active-features\" class=\"wp-block-heading translation-block\">Active features<\/h3>\n\n\n\n<p class=\"translation-block\">Some features need to be activated before they are available and visible to users. These labels can be renamed to something more suitable for your work.<\/p>\n\n\n\n<p class=\"translation-block\"><em><mark style=\"background-color:#def4ff\" class=\"has-inline-color\">For example, you might not track time on the \u201cTasks\u201d but on \u201cJobs, or avoid \u201cProjects\u201d and use \u201cLocations\u201d.<\/mark><\/em><\/p>\n\n\n\n<p class=\"translation-block\">Such settings will impact the entire workspace, so if it makes sense for your business to have distinct tracking objects, having multiple workspaces is a better option for you.<\/p>\n\n\n\n<h3 id=\"time-duration-formats\" class=\"wp-block-heading translation-block\">Time duration formats<\/h3>\n\n\n\n<p class=\"translation-block\">You can choose how to display recorded time on your workspace, whether you want to display:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">Full duration (hours, minutes, seconds as hh:mm:ss)<\/li>\n\n\n\n<li class=\"translation-block\">Compact duration (hours and minutes as hh:mm)<\/li>\n\n\n\n<li class=\"translation-block\">Decimal duration (only hours as h:hh)<\/li>\n<\/ul>\n\n\n\n<h3 id=\"time-rounding\" class=\"wp-block-heading translation-block\">Time rounding<\/h3>\n\n\n\n<p class=\"translation-block\"><a href=\"https:\/\/clockify.me\/help\/track-time-and-expenses\/time-rounding\" target=\"_blank\" rel=\"noreferrer noopener\">Time rounding<\/a> in Clockify can round entries up, down, or to the nearest value. Once set, it is unique for the whole workspace.<\/p>\n\n\n\n<p class=\"translation-block\">It can be quickly changed from the Reports, but if you have multiple different clients, each demanding different rounding options for reports you share with them, it might be better to keep clients in separate workspaces.<\/p>\n\n\n\n<h3 id=\"data-and-currency-format\" class=\"wp-block-heading translation-block\">Data and currency format<\/h3>\n\n\n\n<p class=\"translation-block\">You can set up default types of data and currency formats.<\/p>\n\n\n\n<p class=\"translation-block\">If you have clients from the USA and Europe, your data formats displayed in reports might need to be different, for example:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">3,000 for USA clients<\/li>\n\n\n\n<li class=\"translation-block\">3.000 for German clients<\/li>\n\n\n\n<li class=\"translation-block\">3 000 for Swedish clients<\/li>\n\n\n\n<li class=\"translation-block\">3\u2019000 for Swiss clients<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">Currency format can be customized to be shown as, for example:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">USD 100<\/li>\n\n\n\n<li class=\"translation-block\">100 USD<\/li>\n\n\n\n<li class=\"translation-block\">USD100<\/li>\n\n\n\n<li class=\"translation-block\">100USD<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">Depending on whether you have clients demanding specific conditions, organize them into one or more workspaces.<\/p>\n\n\n\n<h3 id=\"projects-default-billable-status\" class=\"wp-block-heading translation-block\">Project\u2019s default billable status<\/h3>\n\n\n\n<p class=\"translation-block\">If you have many projects, either billable or non-billable, you can set their default billability status in workspace settings.<\/p>\n\n\n\n<p class=\"translation-block\">So, if you don\u2019t want to change that for each project separately, it might be easier for you to have two different workspaces &#8211; one for billable projects and the other for non-billable ones.<\/p>\n\n\n\n<p class=\"translation-block\">Alternatively, you can create a project template with a billable or non-billable status, and create each subsequent project based on it. This way, all new projects will inherit its billability status.<\/p>\n\n\n\n<h3 id=\"required-fields\" class=\"wp-block-heading translation-block\">Required fields<\/h3>\n\n\n\n<p class=\"translation-block\">Required fields let you choose the fields that must be filled in for a time entry to be saved.<\/p>\n\n\n\n<p class=\"translation-block\">You can mark as required the default time entry fields &#8211; project, task, tag, or description &#8211; or any (<a href=\"https:\/\/clockify.me\/help\/track-time-and-expenses\/custom-fields\" target=\"_blank\" rel=\"noreferrer noopener\">visible<\/a>) custom time entry field you\u2019ve set.<\/p>\n\n\n\n<p class=\"translation-block\">These settings will apply to all time entries within the workspace.<\/p>\n\n\n\n<h3 id=\"custom-fields\" class=\"wp-block-heading translation-block\">Custom fields<\/h3>\n\n\n\n<p class=\"translation-block\">Custom fields can be created for time entries or for users, so you can add more information to tracked time or user profiles.<\/p>\n\n\n\n<p class=\"translation-block\">Both <a href=\"https:\/\/clockify.me\/help\/track-time-and-expenses\/custom-fields\" target=\"_blank\" rel=\"noreferrer noopener\">time entry custom fields<\/a> and <a href=\"https:\/\/clockify.me\/help\/track-time-and-expenses\/user-fields\" target=\"_blank\" rel=\"noreferrer noopener\">user custom fields<\/a> can be:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\"><strong>Text<\/strong> \u2013 input field where you can type anything you wish<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Number<\/strong> \u2013 input field that accepts only numerical values<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Link<\/strong> \u2013 input field that accepts a URL to websites or files<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Switch<\/strong> \u2013 a simple yes\/no switch<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Select<\/strong> \u2013 an input field that lets users select a single option from a pre-determined list<\/li>\n\n\n\n<li class=\"translation-block\"><strong>Select multiple<\/strong> \u2013 an input field that lets users select any number of values from a pre-determined list<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">You can mark custom time entry fields as required, and it will apply to the whole workspace.<\/p>\n\n\n\n<p class=\"translation-block\">So if you want to apply different required custom fields to different teams and projects, having more than one workspace is a solution.<\/p>\n\n\n\n<h3 id=\"alerts\" class=\"wp-block-heading translation-block\">Alerts<\/h3>\n\n\n\n<p class=\"translation-block\">Alerts are a way to be notified when a project or task reaches a certain percentage of the (time or budget) estimate.<\/p>\n\n\n\n<p class=\"translation-block\">You can customize the percentage that will trigger the alert, and customize who will receive the alert:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">For Project alerts: alerts can be sent to Project members, Project manager, or Admin<\/li>\n\n\n\n<li class=\"translation-block\">For Task alerts: alerts can be sent to Task assignees, Project manager, or Admin<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">The rules you set for getting alerts will be unique to that workspace.<\/p>\n\n\n\n<p class=\"translation-block\"><em><mark style=\"background-color:#def4ff\" class=\"has-inline-color\">For example, if you set up that a project manager should get the alert if a project reaches 50% of the estimate, that will apply to all projects.<\/mark><\/em><\/p>\n\n\n\n<p class=\"translation-block\">And if you want to change that percentage for non-billable projects, for example, using multiple workspaces is a better solution for your team.<\/p>\n\n\n\n<h3 id=\"approval-period\" class=\"wp-block-heading translation-block\">Approval period<\/h3>\n\n\n\n<p class=\"translation-block\">Approval period can be customized as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">Weekly<\/li>\n\n\n\n<li class=\"translation-block\">Semi-monthly<\/li>\n\n\n\n<li class=\"translation-block\">Monthly<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">If you apply different timesheet approval periods for different team divisions, you might need more than one workspace to adjust approval periods.<\/p>\n\n\n\n<h3 id=\"time-locking\" class=\"wp-block-heading translation-block\">Time locking<\/h3>\n\n\n\n<p class=\"translation-block\">Time in Clockify can be locked after a specific date or after a set period of time to prevent employees from editing time entries. Time locking doesn\u2019t affect Admins, so they can still add or edit time.<\/p>\n\n\n\n<p class=\"translation-block\">Time locking can be set to weekly, semi-monthly, or monthly, and it applies to everyone in the workspace. If you need different approval periods for different teams, you might want to consider multiple workspaces.<\/p>\n\n\n\n<h2 id=\"workspace-organization\" class=\"wp-block-heading translation-block\">Workspace organization<\/h2>\n\n\n\n<p class=\"translation-block\">Once your workspace is created, you can proceed to invite users, organize them, assign roles and permissions, and enable active features.<\/p>\n\n\n\n<h3 id=\"inviting-users\" class=\"wp-block-heading translation-block\">Inviting users<\/h3>\n\n\n\n<p class=\"translation-block\">To start, add your employees or team members as full or limited users, depending on what is needed from them.<\/p>\n\n\n\n<p class=\"translation-block\">Full users can track time in all available ways and access all active features to which they are permitted, while limited users can only use the kiosk to track their time.<\/p>\n\n\n\n<p class=\"translation-block\">To add full members, you will need their email addresses so they can join your Workspace, while for limited users, you need only to enter their names.<\/p>\n\n\n\n<p class=\"custom-btn translation-block\"><a href=\"https:\/\/app.clockify.me\/en\/signup\" target=\"_blank\" rel=\"noreferrer noopener\">Track time with Clockify<\/a><\/p>\n\n\n\n<h3 id=\"assigning-roles\" class=\"wp-block-heading translation-block\">Assigning roles<\/h3>\n\n\n\n<p class=\"translation-block\">To delegate some of the responsibilities in a workspace, you should start by assigning roles.<\/p>\n\n\n\n<p class=\"translation-block\">Then you might want to revise the Workspace settings and see which features are enabled, and grant permissions for different user roles.<\/p>\n\n\n\n<p class=\"translation-block\">Besides the Owner of the workspace (there can only be one), there can be multiple Admins, Project managers, Team managers, or Regular users in one Workspace.<\/p>\n\n\n\n<p class=\"translation-block\">Overall:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"translation-block\">Owners can see and edit everything, plus establish SSO, or delete the Workspace<\/li>\n\n\n\n<li class=\"translation-block\">Admins can see and edit everything<\/li>\n\n\n\n<li class=\"translation-block\">Project managers can see and edit things related to their projects<\/li>\n\n\n\n<li class=\"translation-block\">Team managers can see and edit things related to their team members<\/li>\n\n\n\n<li class=\"translation-block\">Regular users have limited permissions and can see and use the features they have access to<\/li>\n<\/ul>\n\n\n\n<p class=\"translation-block\">Roles are one way to establish who can do what, but you can be even more specific by setting up specific role permissions.<\/p>\n\n\n\n<p class=\"translation-block\"><em><mark style=\"background-color:#def4ff\" class=\"has-inline-color\">For example, if only Admins can create projects, clients, tasks, and tags, or if Project managers or Team managers can approve submitted timesheets and expenses.<\/mark><\/em><\/p>\n\n\n\n<p class=\"translation-block\">For more details on roles, read the help article on <a href=\"https:\/\/clockify.me\/help\/administration\/user-roles-and-permissions\/who-can-do-what\" target=\"_blank\" rel=\"noreferrer noopener\">roles and permissions<\/a>.<\/p>\n\n\n\n<p class=\"custom-btn translation-block\"><a href=\"https:\/\/app.clockify.me\/en\/signup\" target=\"_blank\" rel=\"noreferrer noopener\">Track time with Clockify<\/a><\/p>\n\n\n\n<h3 id=\"groups\" class=\"wp-block-heading translation-block\">Groups<\/h3>\n\n\n\n<p class=\"translation-block\">Now, when all roles are assigned, you can proceed to create <a href=\"https:\/\/clockify.me\/help\/administration\/user-groups\" target=\"_blank\" rel=\"noreferrer noopener\">Groups<\/a>.<\/p>\n\n\n\n<p class=\"translation-block\">Groups are a way to organize people into teams or departments, and they make managing people on projects easier.<\/p>\n\n\n\n<p class=\"translation-block\">You can assign people to Groups right when you create them in the Group tab, or if a new user joins, assign them to a Group when finishing up their profile.<\/p>\n\n\n\n<p class=\"translation-block\">You can also assign a Team manager to a Group or give project access to a specific Group to avoid adding people one by one.<\/p>\n\n\n\n<p class=\"translation-block\">If you organize people into Groups, it will be easier to assign them the right time off policies. One person can be a part of multiple groups.<\/p>\n\n\n\n<p class=\"translation-block\"><em><mark style=\"background-color:#def4ff\" class=\"has-inline-color\">So, for example, if you have a Maternity Leave or Paternity leave policy, you can quickly assign people to that policy without adding people manually.<\/mark><\/em><\/p>\n\n\n\n<p class=\"custom-btn translation-block\"><a href=\"https:\/\/app.clockify.me\/en\/signup\" target=\"_blank\" rel=\"noreferrer noopener\">Get started with Clockify<\/a><\/p>\n\n\n\n<h3 id=\"creating-clients-projects-and-tasks\" class=\"wp-block-heading translation-block\">Creating clients, projects, and tasks<\/h3>\n\n\n\n<p class=\"translation-block\">Creating <a href=\"https:\/\/clockify.me\/help\/getting-started\/create-manage-projects-clients-for-your-team\" target=\"_blank\" rel=\"noreferrer noopener\">clients<\/a> in Clockify by CAKE.com is simple. You should only add their names, and then details of their email addresses, location address, client currency, and other details if something specific needs to be noted. Adding these details will facilitate invoice management in Clockify.<\/p>\n\n\n\n<p class=\"translation-block\">Creating <a href=\"https:\/\/clockify.me\/features\/projects\" target=\"_blank\" rel=\"noreferrer noopener\">projects<\/a> is similar.
