Updates to Clockify Free Plan

What is Changing? #

Automatic Free Trial #

Every newly created workspace will automatically begin with a comprehensive Teste gratuito. This trial activates all paid features including Billable Rates, Project Estimates, and Advanced Reports, allowing you to explore the full power of Clockify from day 1. 

When the free trial ends, your workspace will transition to the Clockify Free plan, unless you choose to upgrade to a paid plan.

While there are no restrictions on the number of users you can invite throughout your free trial, please be aware that once the trial period concludes, the Free plan will only keep your first four invitees active and all subsequent users will be automatically deactivated.

Workspace Limits #

The following limits apply to workspaces on the Free plan:

• User Limit: 5 active users (including the Owner and active members).
• API & Webhooks: 30 API requests per hour and up to 3 active webhooks per workspace.

Reporting and Exports #

Reports on the Free plan have the following limitations:

• Report and dashboard date range filter: 1 month (31 days) at a time.
  On the Free Plan, generating reports  is limited to a maximum date range of 31 days per report. This means you can pull data for:
  • A rolling window: The previous 31-day period, starting today.
  • A specific block of time: Any custom time frame, as long as the start and end dates are no more than 31 days apart (for example, the full month of January, or the full month of February). To view data older than 31 days or to run multi-month reports, consider upgrading your plan.

• CSV and Excel report exports are available only on paid plans (PDF exports remain available on the Free plan).
• Relatórios compartilhados are available only on paid plans.

Project and Team Management #

Changes to project and team management features include:

• Project privacy: All projects on the Free plan are Público (visible to all workspace members).
• Creation permissions: Every workspace member can create clients, projects, tasks, and tags. Permissions can’t be restricted on the Free plan.
• Editing permissions: Users can edit only their own time entries (the “Who can edit time for others” permission is set to “No one”)

What you can do #

If you are currently on the Free plan or wrapping up your free trial period, here are the steps you can take to manage your account:

• Review your team size: Ensure your workspace has 5 or fewer active members ou upgrade to a paid plan to include your entire team. You can use the Bulk Deactivate feature to remove multiple users from your workspace.

• Download your annual data. Workspace owners can use the Export data option in Workspace settings to export all time entries for the current year as a CSV for legal compliance or record-keeping.
• Optimize your webhooks. Check your Webhooks tab to ensure your 3 most important webhooks are active.
• Explore paid plans. Unlock features like Kiosk, billable rates, time off management, and many more to manage your team’s time and invoice your work.

Can I still export my data to Excel or CSV on the Free plan, or is it limited to PDF?

No. Excel and CSV exports are paid features. On the Free plan, your reporting exports are limited to PDF.

Will the Basic plan include Excel and CSV exports?

Sim. Upgrading to the Basic plan (or any higher plan) restores full access to both Excel and CSV report exports.

If I deactivate my extra users so I only have 5 active members, can I stay on the Free plan?

Sim. If you reduce your workspace to 5 or fewer active members by deactivating the extra accounts, you can remain on the Free plan and use available core features such as time tracking, projects, etc.

What does the “billable rate” restriction actually mean for my account?

You can no longer set hourly rates, assign dollar amounts to projects.

Will I still be able to mark hours as billable/non-billable and set project amounts on the Free plan?

No. The ability to toggle time entries as billable/non-billable and assign financial amounts to projects is part of paid plans. 

Which paid plan do I need to see billable rates and total amounts earned?

You will need the Plano Basic (or higher) to re-enable billable rates, toggle billable status, and calculate total amounts earned.

Is the Free plan restricting report searches to a 1-month date range?

Sim. The report date range filter on the Free plan is now capped at a maximum of 1 month (31 days) per query.

Will I still be able to run reports for a full year or custom date ranges?

Not in a single query. On the Free plan, you will have to manually run and export your reports month-by-month. To run a single report for an entire year or an extended custom date range all at once, you will need to upgrade to a paid plan.

Does the Basic plan cover everything that is being removed from the Free plan?

Sim. The Basic plan covers all functionality being limited on the Free plan, including CSV/Excel exports, billable rates, extended report filtering.

If I am a solo user who needs basic time tracking and PDF exports, can I continue using Clockify for free?

Yes, absolutely. If your workflow requires a time tracker to log hours, organize them by project, and generate PDF summaries, the Free plan remains completely functional and free.
