Learn how to create, manage, and organize projects and clients in Clockify.

Crear proyectos #

Projects help categorize and track time entries for specific tasks. Each project is typically assigned to a client, though you can create clientless projects for internal use.

Steps to create a project: #

  1. Ve a la Proyectos page and click Crear nuevo proyecto
  2. Nombra el proyecto
  3. Select an existing Cliente or create a new one by typing a name and clicking Create Client
  4. Selecciona un Project color and set the Visibilidad (Public or Private)
  5. Haz clic en Crear

Once created, you can assign tasks and start tracking time for the project.

Crear rápidamente #

When adding a time entry, click the +Proyecto field, type the project name, and select Crear nuevo proyecto.

Gestionar proyectos #

Archivar proyectos #

Once a project is completed, you can archivar it to keep it out of the way during time tracking. Archived projects remain in reports.

Steps to archive #

  1. Ve a Proyectos and click the tres puntos next to the project
  2. Selecciona Archivar

Para restore an archived project, click the tres puntos and select Restaurar.

Eliminar proyectos #

Projects can only be deleted once archived. Be aware that deleting a project removes it from time entries but leaves the time data intact.

Steps to delete #

  1. Ve a Proyectos and select Archivado from the filter
  2. Haz clic en tres puntos next to the project and select Eliminar

Set project billable rates #

You can set a tarifa facturable for each project, which applies to all time entries associated with that project.

Steps to set a billable rate:

  1. Ve a la Proyectos page and click on the project name
  2. Switch to the Project settings pestaña
  3. Set the Tarifa facturable for the project

Crear clientes #

Clients are necessary to link to projects, though they can exist without a project.

Steps to create a client: #

  1. Ve a la Clientes página
  2. Enter the client’s name and click Añade

As a Gerente, you can create clients when creating a project, but you won’t have access to the Clientes page unless you’re an Admin.

Assign tasks to projects #

Tasks help you break down the work within a project. You can add new tasks, assign them to users, and set deadlines.

Steps to add a task: #

  1. Ve a la Proyectos page and select the desired project
  2. En la pestaña Tareas tab, enter the name of the task in the Add new task campo 
  3. Haz clic en Añade
  4. Set assignees, billability, rates and other details

Filtrar y ordenar proyectos #

With many projects, filters and sorting options help you stay organized.

Filter projects by Estado (Active, Archived), Cliente, Usuario, y Billability.

Sort projects by clicking on Nombre, Cliente, o Estado to sort projects alphabetically.

Set project templates #

If you manage multiple similar projects, creating a template can save you time. Templates pre-define settings like billable rates, tasks, and estimates.

Steps to set a project template: #

  1. Create a project as usual
  2. Haz clic en el Project settings pestaña
  3. Selecciona Establecer como plantilla

Role permissions for Managers #

As a Gerente de proyecto, you can:

  • Create, edit, archive, and restore projects
  • Add and modify tasks, assign them, and track progress
  • Change project visibility (public/private)
  • Add/remove members from projects
  • Set billable rates for projects and tasks

As a Gerente de equipo, you have similar permissions but without the ability to manage project settings like billable rates or templates.

Can I create a project without a client?  #

Yes, you can create a project without a client, though most projects will likely be assigned to one.

Can I edit project details after creation?  #

Yes, you can change project names, clients, and settings anytime. 

  1. Click on the project you’d like to edit  
  2. Ve a la Configuración pestaña
  3. From here, you can make adjustments regarding:
    • El nombre del proyecto
    • Change client or project color
    • Set up billability or project rate
    • Set up project estimate
    • Add any additional fields that would help you track time more efficiently

Can I delete a project right after creating it?  #

No, projects can only be deleted after being archived.

How do I add tasks to a project?  #

Tasks can be added directly in the Tarea tab of the Proyecto página.

How do I use project templates?  #

To create a template, set an existing project as a template under the Configuración pestaña.

Can I assign different billable rates to different users in the same project?  #

Yes, billable rates can be set per project member within the Access tab of the project.
