Understanding project estimates, budgets, and alerts

Clockify gives you multiple ways to track progress and stay informed through time estimates, budget estimates, and alerts. These features can help you make informed decisions to ensure that the project has enough support and that the amount of work is billed correctly to the client. This article will guide you through how these features work.

Estimation de temps vs. estimation de budget #

Clockify vous permet de suivre l’avancement d’un projet grâce à deux types d’estimations : les estimations temporelles et les estimations budgétaires. 

• A time estimate refers to the number of hours you expect to spend on a project. It’s based purely on tracked time entries and is ideal when you’re managing internal workload, capacity, or effort. 
• A budget estimate refers to the monetary value you expect to bill for a project. It depends on having hourly rates set up, either at the project or task level.

Check your project settings #

To see what type of estimate is tracked in a project:

1. Go to Projects page
2. Cliquer sur le projet
3. Go to Settings tab
4. Scroll down to Project estimate

This section shows how the project estimate is configured – if it’s manual, task based, or recurring.

Les estimations au niveau de la tâche prennent aussi en charge les alertes #

You can assign estimates and alerts to tasks, not just full projects. This allows you to see which task is taking up the estimate. 

Vous pouvez notifier : 

• Personnes assignées à la tâche 
• Chef de projet
• Administrateur de l’espace de travail

Un seul rôle peut être sélectionné par règle d’alerte, mais vous pouvez créer plusieurs règles pour notifier différents rôles. 

Les barres de progression d’estimation peuvent dépasser 100 % #

Clockify will continue to keep track of your time and budget even if it goes beyond the estimate. When this happens, the project progress bar will go past 100% to reflect overage.

• 125 % = 25 % au-delà de l’estimation
• Ce comportement est intentionnel et vous aide à mesurer l’ampleur du dépassement

Les budgets récurrents se réinitialisent automatiquement #

If you’ve set a weekly, monthly, or yearly recurring estimate, Clockify resets the budget automatically at the end of each cycle based on the project’s start date.

Ce que cela signifie :

• Les budgets ne disparaissent pas ; ils repartent simplement à zéro pour la nouvelle période 
• Le statut du projet n’affiche la progression que pour le cycle en cours

Comment préserver les données historiques #

Export the project information before the reset date:

1. Allez à la page Projets
2. Click Export (CSV or Excel)
3. Save the file

The export includes tracked time, budget, estimate, overage, progress, and other information about the project. This serves as a backup or a reference if you want to compare performance across periods.

Les alertes ne se déclenchent que si elles sont configurées pour un seuil précis #

Estimate alerts are only sent for thresholds that are explicitly defined in the workspace. 

Exemple : 
If you set an alert only at 80% and not at 100%, you won’t receive anything when the estimate is fully reached.

Set alerts at all relevant thresholds #

Create an alert for each threshold you want to monitor in the project:

1. Go to Workspace Settings
2. Go to Alerts tab
3. Click Add and change the estimate value

Repeat the last step to create alerts at all relevant thresholds (e.g., 50%, 80%, 100%).

Les alertes d’estimation ne sont envoyées qu’une seule fois par seuil #

You’ll receive one alert per threshold (e.g., 80%, 100%). If the progress jumps over multiple thresholds at once (e.g., from 75% to 95%), only the highest one will trigger an alert.

An alert for a threshold will only trigger again if the project estimate drops below that value and then crosses it again.

Les alertes ne sont pas rétroactives #

Si vous créez ou modifiez une règle d’alerte après qu’un seuil a déjà été dépassé, Clockify ne déclenchera pas l’alerte de manière rétroactive.

Clockify ne bloque pas le suivi au-delà des estimations #

Les estimations servent uniquement à des fins d’information. Clockify n’empêchera pas automatiquement le suivi du temps sur ces projets une fois qu’une estimation ou un budget est atteint. 

Ce que vous pouvez faire à la place :

• Mettre en place des alertes pour être notifié lorsque l’estimation est proche d’être atteinte ou dépassée 
• Use the Projects > Status page to view the current status
• Établir des directives internes claires pour arrêter le travail manuellement

Méthode de contrôle optionnelle : 

Une fois que le projet atteint son estimation ou sa limite budgétaire, un administrateur ou un chef de projet peut :

1. Allez à la page Projets
2. Cliquer sur le projet 
3. Click Archive

Cela empêchera les membres de l’équipe de suivre du temps supplémentaire sur ce projet, appliquant ainsi un arrêt effectif.
