As a manager (Team or Project), learning Clockify’s reports is key. They help you track your team’s work, monitor hours, and ensure accurate billing.
Clockify offers several reports to view time entries, from quick summaries to detailed lists. This guide covers report types, filtering, customization, and how to watch your team’s tracked time.
Autorisations d’accès #
Here’s how Clockify report access works for Team Managers and Project Managers.

Key features #
- Clockify has three main reports:
- Summary
- Detailed
- Weekly
Each report shows time entries differently.
- You can also track team activity, set time goals, and check if employees meet their weekly or monthly quotas.
- You can export reports as PDF, Excel, or CSV files.
- Team Managers can access and generate all reports but only Owners and Admins can set up scheduled report emails.
- Project managers see the same reports but are limited to their assigned projects.
Types de rapports #
Rapport résumé #
The Summary report is flexible. You can group your team’s time entries in many ways to fit your needs.
You can group data by:
- Projet
- Client
- Utilisateur
- Groupe
- Balise
- Mois
- Semaine
- Date
How to use it:
- Common use: To see total hours by user and project, choose User as the main group and Project as a subgroup. You can add a Task for more details. This shows exactly what each team member worked on.

- By date: Grouping by Date shows the total hours each person tracked every day. Use this instead of the Weekly report for multi-week or custom date reports.

- Three levels: The Summary report allows up to three levels of grouping for a deep dive into your data. You can choose any date range you need.

Rapport hebdomadaire #
This report is perfect for tracking hours week by week. You can group the data by User or Project.
How to use it:
- Fixed range: This report only shows one week at a time. If you need to view more than one week, use the Summary Report instead.
- Weekly overview: It’s the best report for quickly monitoring your team’s work on a week-to-week basis.

Rapport détaillé #
The Detailed report lists every single time entry separately. It doesn’t group or summarize anything.
How to use it:
- Use this report to see every detail of your team’s time entries. An Admin can also edit entries directly here.

- Export the Detailed report as a CSV file to create custom reports or process the data further in tools like Excel or Google Sheets.
Filtrer les rapports #
Use filters to show a specific team member or user group.
How to filter:
- Go to the Report page (Summary, Detailed, or Weekly)
- Click the Team filter and select the team member in the dropdown menu
- Click the Apply filter button in the top-right corner

The report will now only show time entries for the selected user or user group.
Personnaliser les rapports #
You can customize a report according to your needs by exporting the Detailed report as a CSV and using tools like Excel or Google Sheets to create pivot tables or charts.
To customize a report:
1. Go to Reports and select Detailed
2. Expand the Export menu on the right-hand side
3. Select Customize
4. Select or deselect the checkboxes as needed
5. Click Save

Affichage de la feuille de temps #
The team timesheet feature is available on the Standard plan or higher.
The timesheet view offers more customizable options compared to the standard Weekly report, while providing similar data.
- Filter timesheets by a specific employee and group by Project for detailed tracking.
- Export timesheets to PDF or Excel for records or reporting.
To save a copy of the Timesheet as a PDF:
1. Go to the Timesheet page
2. Click on the three-dot icon in the top-right corner of your browser
3. Click Print
4. Select Save as PDF
5. Rename the file (optional)
6. Click Save

Monitor work #
You can check what your team is currently working on using the Team dashboard.
How to monitor active work:
- Go to the Dashboard page and switch to Team view
- Scroll down to the Team activities table
- Check the Total Tracked column to see the total tracked time per team member

You can also use the Weekly report, group by User, and click Show users without time to find team members with no tracked time.
Notifications for targets #
Clockify lets you set daily or weekly hour targets for your team. You can get email reminders if someone:
- Forgets to log their time (Clockify sends them reminders to fill out timesheets).
- Tracks too many hours (managers are notified if tracked time goes above the target).
To create targets for your team:
1. Go to the Team page
2. Switch to the Reminder tab
3. Set the target by clicking on the dropdown menus for:
- Select team members
- Less or more time
- Work capacity (Number of hours)
- Daily/Weekly/Monthly basis
- Who receives the reminder (Team members, their managers, and admins)
4. Click Add

FAQ #
I can’t see my team member’s tracked time. What can I do?
If a team member tracked time but you can’t see it, they may have tracked it in the wrong workspace.
Ce qu’il faut faire :
- Verify that the team member is tracking time in the correct shared workspace. (Sometimes people accidentally create a personal workspace when they sign up).
- If they tracked time in their personal workspace by mistake, you need to check that workspace as well.
