On the Time tracker page in Clockify, employees can track their work as it happens by using Clockify’s Timer. To track time with the Timer, enter what you’re working on, select a project, and click Start. Once you’re done, click Stop. 

All your time entries are securely stored in the app.

Clockify enables fast, precise, and reliable recording of work hours — no more messy spreadsheets or guesswork. 

Your team members can also manually add time for past activities. Say you manage a consulting team, and one of your team members forgot to start the Timer for a client meeting. They can simply add time after the meeting ends to ensure accurate time logs. 

Click on the list icon in the upper-right corner of the page and type what you’ve worked on. Then select a project, enter your start and end times (or add time by duration), and click Add.

Clockify free feature #3: Timesheet

With Clockify’s Timesheet, employees can log their hours for the day or the whole week. For example, your creative team may prefer to log their hours at the end of the workweek. This way, they avoid interrupting their creative flow. 

To log your daily work hours, select a project and enter the amount of time you worked in the appropriate cell — simple as that.  

Employees can also edit their entry details by adding their start and end times, description, or tags.

Additionally, Clockify allows you to save the projects and tasks (and the time, optionally) for a specific week as a template. Then you can apply this template to increase your efficiency. This is especially useful for employees who perform the same tasks week after week (e.g., a developer writing code).

Alternatively, employees can use the Copy last week option to populate their timesheets faster. They can either copy activities only or activities and time together.

Clockify free feature #4: Auto tracker

Once enabled, Clockify’s Auto tracker monitors and records how much time employees spend across various programs and apps. Apart from the duration, the Auto tracker captures:

• Names of the apps and documents employees are using,
• Website URLs, and
• Percentage of time they were inactive during recorded activity blocks. 

After employees get the data, they can revise their activities. This helps them better understand their work patterns. To make time logging more efficient, employees can also convert activities into time entries.

NOTE: Only the employee using the Auto tracker can see their recorded activities (complete privacy ensured).

Suppose your software development team members frequently switch between testing, coding, and research tools. Clockify’s Auto tracker automatically captures all their activity without interrupting their workflows, helping them stay productive.

Your team members can use Clockify’s Calendar to visualize their workday and manage their time entries.

On the Calendar page in Clockify, employees see their time entries as blocks on a daily or weekly timeline. This makes it easier to spot overlapping entries or gaps in their schedule. Here, they can also:

• Add or edit time entries, 
• See upcoming holidays and vacations, 
• Connect their Google or Outlook calendar to view all their planned events directly within the Calendar page, and 
• Compare planned vs tracked time to improve time management.

Adding a time entry in the Calendar is easy — click on an empty time slot, enter your work start and end times, and select a date. Then add a description, tags, and a project. Finally, click Add.

Team members can start the Timer on events or convert events to entries (provided their Google or Outlook calendars are connected).

To edit their tracked time, employees can simply resize the blocks to change the duration or start and end times of their entries. They can even drag and drop blocks to change the date — see below:

All changes made in the Calendar view are automatically updated in the app.

In an agency setting, a graphic designer can check how much time they’ve spent on each meeting, revision, or mockup during their workweek. Clockify’s Calendar helps them be more productive and better organize their time.

Clockify free feature #6: Mobile and desktop app

In addition to the web app, employees can track time using:

• Desktop app (macOS, Windows, Linux), and
• Mobile app (iOS, Android).

This means your employees can track time with Clockify wherever they are — whether they work at a desk or in the field.

What’s more, Clockify’s apps support offline tracking. Imagine your construction workers need to log their hours, but they’re working in a no-connectivity area. With Clockify’s mobile app, they can track time even if offline. Once they reconnect, their data is synced automatically, ensuring consistency. 

Clockify also has browser extensions for Chrome, Microsoft Edge, and Firefox. They allow your team members to record work time with just 1 click.

With Clockify’s extensions, employees can also track time from selected text. Highlight any text, right-click on it, and choose Start timer with description. The Timer will start tracking time for an entry with the selected text as description.

If your employees struggle with productivity, Clockify’s Pomodoro timer can help them avoid procrastination and stay focused. With this feature, employees can work in 25-minute intervals followed by 5-minute breaks. This way, they can prevent burnout.

For example, a content writer working on a blog post can divide the post into several sections (e.g., introduction, first half of the body, second half of the body, and conclusion).

After working on the introduction for 25 minutes, they can take a short break to recharge. Taking breaks after each section will help them maintain mental clarity throughout the writing process. This ensures better quality work.

Clockify’s Pomodoro timer is available in Clockify’s desktop apps (macOS and Windows) and browser extensions (Chrome and Firefox).

Like the Pomodoro timer, Clockify’s Idle detection and Reminders are available in Clockify’s desktop apps (macOS and Windows). They can also be used in Clockify’s Chrome and Firefox browser extensions.

Once Idle detection is enabled, it detects when employees are away from their computers while the Timer is running. If there’s no mouse movement or keyboard input for X minutes, the Timer will continue to run, but will treat those minutes (and the time after that) as idle. 

When an employee returns to their computer and stops the Timer, they’ll get a notification like the one below:

Employees can choose how to deal with their inactive time:

• Discard idle time,
• Discard idle time and continue,
• Keep idle time, or
• Add idle time as a new time entry. 

This way, they can maintain accurate time records.  

Clockify can also send reminders to your team members to track time. To set reminders in Clockify’s Chrome extension, open the extension and click the hamburger icon in the top-right corner. Then choose Settings, check the Remind me to track time box, and adjust your reminder.

This feature is useful for employees who keep forgetting to start the Timer.

Say an HR specialist works from 9 a.m. to 5 p.m., Monday through Friday. If they don’t start the Timer within 10 minutes of starting their workday, Clockify will prompt them to track time. This reduces the risk of missed hours.

Clockify free feature #9: Tracking integrations

Clockify integrates with more than 100 web apps, including:

• Project management tools such as Jira, Trello, and Asana,
• Task management apps like TickTick and Todoist, 
• Communication and support apps such as Freshdesk, Slack, and Zendesk, and
• CRM tools like Pipedrive and Salesforce.

With Clockify’s time tracking integrations, teams can track time directly within other business tools. This allows them to optimize their workflows.

If you’re looking for a way to create client reports without manual effort, you can do so with Clockify. Managers can generate several types of time reports:

With the Summary report, managers can see who worked on what, when, and for how long. This way, they can assess employee efficiency and help them perform better.

To generate a Summary report in Clockify, go to Reports and select Summary from the dropdown menu. To only view the data you need, filter the report by:

• Description.
