Screenshots
On the Pro and Enterprise plans, Clockify takes screenshots that only work through the Clockify desktop app for Windows and Mac. These screenshots are blurred by default and get captured every 5 minutes while the timer is running.
Every team member gets a notification the moment the feature is turned on.
The Clockify Screenshots feature exists to give managers a visual record of work in progress, not to promote constant surveillance. Each screenshot is blurred unless an admin selects a higher-resolution setting. Admins can turn the feature on or off per workspace at any time.
Nobody gets screenshotted without knowing, since the notification shows up the instant the setting changes.

Targets and Reminders
Clockify lets you set daily, weekly, or monthly time tracking targets per person or team, then automatically notify anyone who logs too little or too much time.

Part-time staff might have a 4-hour daily target, while full-time staff have an 8-hour daily target and a 40-hour weekly target. If someone falls short or goes over, Clockify sends a reminder.
It’s also possible to choose who gets notified — just the employee, their manager, or all admins — which removes the need to manually check who’s over or under their hours each week.

Breaks
Track break time the same way you track work. There are 3 ways to track breaks in Clockify:
- Switch your tracker from Work mode to Break mode
- Select break mode at a kiosk
- Log break time directly in your timesheet using a default break project

Tracking break time separately from work time gives you a more accurate picture of actual productive hours, which matters when billing clients by the hour or calculating labor costs.

Custom fields & Required fields
With Clockify Custom fields, you can attach extra information to time entries or user profiles in the form of text, numbers, links, switch buttons, or single- or multiple-selection lists. You control which projects show a given field and what its default value is.

If your billing process requires a job code, client reference number, or project phase on every entry, custom fields keep that data attached to the right records without relying on memory or separate spreadsheets.
Additionally, Required fields prevent entries from being saved if a project, task, tag, or custom field is missing. This matters most for teams that need consistent data for billing, payroll, or compliance audits.

Import time and users

Reporting features
These extra reporting features turn your tracked time into usable data for budgeting, billing, and staffing decisions.
Estimates and Alerts
Thanks to the Time estimates in Clockify, you can set a total time budget for a project, or for individual tasks within it — and reset every month.

With Budget estimates, you set a money budget for a project or individual tasks, which can also include billable expenses.

Finally, you can set up Project alerts to notify you automatically when a project nears or hits its estimate.

If you manage retainer clients, you can reset project budget tracking every month, so you know exactly when a project is approaching scope creep.

Labor cost and profit
Set Billable rates for revenue and Cost rates for labor cost at the organization, team, project, task, or client level. As your team tracks time, Clockify calculates revenue, cost, and profit automatically in Reports, which you can then export for further analysis.
Agencies can use labor cost and profit to compare what they bill a client against what they pay the contractor doing the work, on a project-by-project basis.

Team reports: Attendance and assignments
The Attendance report in Clockify shows each employee’s:
- Daily start and end time
- Work capacity vs. actual hours
- Folgas
- Overtime
The Assignments report compares scheduled and tracked hours and includes a visual progress bar.

Both reports filter by date, team member, or hour range, and export to CSV, Excel, or PDF.
Together, the Assignments and Attendance reports let you spot attendance and scheduling issues (e.g., who’s consistently falling behind their assigned hours) before they get out of hand.

Logs older than a year are automatically deleted, so export them regularly if you need long-term records.

Activating Decimal format in Clockify lets you view, enter, and export time in decimal format — instead of hours and minutes.

Management features
Management features handle the operational side of running a team:

Folgas
Note that Clockify’s Time off feature runs on 2 structures — Holidays (no need for approvals) and Policies (usually require approval). Each gets its own color and applies to a defined group of people.

Holidays can be set to repeat annually on selected dates. Time off policies can be customized further by:
- Setting them in days or hours
- Allowing negative balance so people can request time off before it accrues
- Setting annual auto-accrual
- Allowing half-day requests

The Timeline tab shows who’s out, for how long, and under which policy.
The Balance tab tracks days used and remaining, with manual adjustments and exportable history.
For teams of 10+ employees, Time off in Clockify removes the back-and-forth between employees and HR about remaining days and who’s out when.

Aprovação
In Clockify by CAKE.com, Timesheet approval works as a checkpoint between tracked time and paid time:
- Team members track time using the Timer, Timesheet, or Kiosk.
- Team members submit their timesheet and any expenses for review.
- Submitted entries get a “pending approval” label and lock from further edits.
- Managers approve or reject entries one by one, or approve several at once.
- Approved or rejected items move to the Archive tab and are filterable by date, team, or status.

Managers can send reminders to team members who haven’t submitted their timesheets, and to other managers who haven’t reviewed the timesheets. Once approved with the Clockify Approval feature, timesheets are ready for payroll export.

Planejamento
With Clockify’s Scheduling feature, you can make schedules in 2 ways:
- By allocating people to projects (Project View)
- By allocating projects to people (Team View)
Project view is ideal when you’re starting from a deadline or time estimate and need to allocate hours daily, weekly, or monthly. Team view is a good choice when you need to assign projects to people based on their working capacity.
Both views let you:
- Add milestones
- Mark assignments as billable
- Repeat an assignment for a set number of weeks
- Attach notes

If you schedule someone over their available capacity, Clockify warns you before you confirm. That way, a project lead who’s, for example, balancing 8 people across 3 client projects can catch an overload before it happens.

Despesas
Whether you’re tracking expenses to bill clients or for internal records, tracking them provides significant insight into how well you manage your budgets.

You can categorize expenses by type and log them either as a flat sum or by unit price. Billable expenses count automatically against a project’s budget. Expenses can also be submitted for approval, the same way timesheets are.
Logging expenses as they happen rather than reconstructing them at invoice time means fewer missed billables and more accurate project profitability numbers.

Faturamento
Clockify lets you bill your clients for services and expenses right from the app.
Generate invoices directly from tracked time and billable expenses. You choose the client, project, and currency, as well as which legal entity you’re billing from if you operate more than one. With Clockify’s Invoicing feature, you can also:
- Add taxes or discounts
- Customize the email template
- Track invoice status (unsent, paid, partially paid, and overdue)

Partially paid invoices show the payment date and the amount still owed. Because invoices pull directly from tracked time and expenses already in Clockify, there’s no risk of under-billing or forgetting a billable activity.

Utility features: Bulk edit, lock time, and add time for others
In Clockify, Bulk editing lets you update multiple time entries, projects, or users in one action (e.g., updating working capacity for 10 people at once).

Additionally, locking timesheets prevents regular users from editing entries after a set date, which is useful once timesheets are finalized for payroll.

And adding time for others means admins can log time on a team member’s behalf, even after the team member’s entries are locked. This keeps records accurate when a field worker doesn’t have app access, or when a team member forgets to log hours before the timesheet locks.

Manager roles
Clockify has 5 role levels with different user permissions:
- Owner is the account creator with full access to all settings, billing, and data. There’s one Owner per workspace.
- Admin has the same permissions as the Owner, except they can’t delete the workspace.
- Project manager can create and manage projects, tasks, and team assignments within the projects they oversee, without access to workspace-wide settings.
- Team manager can view and approve timesheets and time off for the specific team members they’re assigned to manage.
- Regular user can only track their own time, submit timesheets, and request time off.

Assigning Manager roles speeds up approvals and improves scheduling and budget decisions. That way, people directly involved in a project can act without escalating every request to an admin.

Hide time and pages
In Clockify, the Hide time and pages feature restricts what regular users can see, including Reports or other people’s time entries.

This is useful when most staff only need to log their own hours and don’t need visibility into company-wide data.

Single sign-on (SSO)
Instead of a separate Clockify password, Single sign-on (SSO) lets your team log into Clockify using your company’s existing identity provider (including Okta, Azure, and Google).

Clockify supports both SAML 2.0 and OAuth2. Setting it up requires a custom subdomain for your organization, which the Enterprise plan also includes.
