How do you use Clockify’s work hours calculator?

Need a step-by-step guide? Here’s a quick tour of how to handle our working hours calculator.

Step #1: Select the time format

Pick your preferred time format by clicking on either 12 hours or 24 hours.

So, if you select the 12-hour format, your time will be displayed with AM or PM. If you select 24 hours (military time), our calculator will show your hours on a scale from 00:00 to 23:59.

Step #2: Add your work hours

Enter your start and end times so that they reflect your daily or weekly work hours — e.g., type in “945” for 9:45 a.m.

For faster time entry, you can either use the dropdown menu to select the time or click Now to add the current time. Note that the dropdown menus display a list of times in 30-minute intervals.

Step #3: Input your break time

To accommodate all professions and work arrangements, our work hours calculator lets you enter breaks of any length.

For breaks longer than 1 hour, you’ll have to convert minutes into the hh:mm format. To illustrate, a 90-minute break is equal to 1 hour and 30 minutes. In that case, simply type in “130.”

If you work in 2 shifts, you’ll probably find this feature especially useful.

Step #4: Enter the number of work days

Specify the number of work days for which you want to calculate your overall work hours.

You can enter a 3-digit number, which means up to 999 days of work.

Step #5: Generate and analyze the results

Click on Calculate to see overall work hours and other work time details, like:

  • Total work time — number of hours and minutes in the hh:mm format, including your break, and
  • Actual work time — number of hours and minutes in the hh:mm format, minus your break.

Both results are further presented in 2 ways, from minutes to decimal hours — see below.

But how do you calculate minutes and decimal hours?

To determine work time in minutes, you’ll need to convert the digital hh:mm time into minutes (1 hour equals 60 minutes). Then, divide those minutes by 60 to get the decimal hours.

For instance, 7:30 hours translates to 450 minutes. Divide it by 60 and you’ll get 7.5 — the decimal equivalent.

Work hours: 9 a.m. - 4:30 p.m.

Daily hours worked: 7:30 hours

Daily minutes worked: 7 hours x 60 minutes + 30 minutes = 450 minutes

Decimal equivalent: 450 minutes / 60 = 7.5

  2. Print — view and save the calculations as a PDF file, and
  3. Export (CSV) — download the results in CSV format to import them into your Excel timesheets.

FAQs related to work time

We’ve gathered answers to the most common questions about work time. Let’s dive in!

How do you calculate your work time?

To figure out your work time, you’ll need to calculate your office hours and, optionally, subtract your break time.

Imagine you work from 9 a.m. to 5 p.m. To figure out your work hours, you would need to count the hours from 9 a.m. to 12 p.m. (which is 3 hours) and then from 12 p.m. to 5 p.m. (which is 5 hours). Adding those together will give you a total of 8 hours.

People using the 24-hour clock (military time) would only need to subtract their start time from their end time to get total hours worked.

If necessary, you can deduct your breaks or add overtime.

🎓 How to Calculate Payroll Hours

Is your lunch break considered part of your work hours?

In general, work time includes lunch breaks. For instance, an 8-hour workday typically comes with a 30-minute break.

However, you should check your company policy and local laws to check if those breaks are paid or not.

Can you use a work time calculator for business?

A work time calculator is suitable for businesses that only track total work hours (with or without breaks) — without in-depth breakdowns.

If your company policy includes paid overtime work, you’ll need a more sophisticated solution that calculates extra hours and the appropriate compensation. For example, reliable time tracking software like Clockify.

How do you determine your hourly wage?

To figure out your hourly wage, let’s walk you through the formula.

First, multiply your monthly salary by 12 to get your annual salary. Here’s an example:

$4,000 (monthly pay) x 12 (months) = $48,000 (yearly pay)

Second, multiply your weekly hours by 52, the number of weeks in a year, to get your annual work hours, like this:

40 (hours) x 52 (weeks) = 2,080 (yearly work hours)

Third, divide your annual pay by annual work hours to get your hourly rate. Here’s how that works:

$48,000 (yearly pay) / 2,080 (yearly work hours) = $23,08 (hourly rate)

How do you calculate average work time?

To get your average work hours per week or month, you’ll need to take 2 steps:

  1. Calculate average weekly work hours — multiply your total daily work hours by the number of days worked per week, and
  2. Calculate average annual work hours — multiply your average weekly work hours by 52 (total number of weeks in a year).

Determining your average work hours can help you optimize various work areas, like planning or budgeting.
